Job Purpose

The Administrative Officer is responsible for providing efficient administrative and clerical support to ensure the smooth day-to-day operation of the supported living service. The post holder will maintain accurate records, support compliance requirements, coordinate communication with stakeholders, and assist management in delivering high-quality services that meet regulatory standards.

Key Responsibilities
Administration and Office Support
Provide comprehensive administrative support to the management team.
Answer telephone calls, emails, and correspondence professionally and promptly.
Maintain accurate filing systems, both electronic and paper-based.
Prepare letters, reports, meeting minutes, and other documentation as required.
Manage office supplies and ensure adequate stock levels are maintained.
Schedule meetings, appointments, assessments, and staff interviews.
Compliance and Record Keeping
Maintain staff and service user records in accordance with GDPR and confidentiality requirements.
Support the monitoring of mandatory training, DBS renewals, right-to-work checks, and professional registrations.
Ensure compliance documentation is up to date and readily available for audits and inspections.
Assist with the preparation of documents required for CQC inspections and local authority monitoring visits.
Maintain accurate incident, accident, safeguarding, and quality assurance records.
Human Resources Support
Assist with recruitment administration, including arranging interviews, processing applications, obtaining references, and completing onboarding paperwork.
Maintain employee files and update HR systems.
Support induction arrangements for new staff.
Monitor annual leave requests, sickness records, and staff attendance information.
Service User Administration
Maintain service user files, support plans, risk assessments, and placement documentation.
Assist with referral administration and assessment coordination.
Support the admission and discharge process for service users.
Ensure records are updated promptly following reviews and changes to support needs.
Financial Administration
Process invoices, purchase orders, and petty cash records as required.
Assist with rent monitoring and record keeping.
Support payroll administration by collating timesheets and staff attendance records.
Maintain accurate financial records in accordance with organisational procedures.
Communication and Stakeholder Liaison
Liaise with local authorities, healthcare professionals, families, landlords, and external agencies.
Ensure information is communicated accurately and professionally.
Respond to enquiries from prospective service users and referral sources.
General Duties
Promote the organisation's values and commitment to person-centred care.
Work in accordance with safeguarding policies and procedures.
Maintain confidentiality at all times.
Undertake any other reasonable duties as requested by management.
Person Specification
Essential Criteria
Previous experience in an administrative or office support role.
Excellent verbal and written communication skills.
Good organisational and time management skills.
Strong attention to detail and accuracy.
Proficient in Microsoft Office (Word, Excel, Outlook, and Teams).
Ability to maintain confidentiality and handle sensitive information.
Ability to work independently and as part of a team.
Desirable Criteria
Experience working within health and social care or supported living services.
Knowledge of CQC regulations and compliance requirements.
Understanding of GDPR and data protection principles.
Experience using electronic care planning or HR systems.
Qualifications
Essential
GCSEs (or equivalent) in English and Mathematics.
Desirable
Business Administration qualification (Level 2 or above).
Health and Social Care qualification.
Working Hours
Part-time: 20 hours per week (or as agreed).
Monday, Wednesday & Friday, with flexibility to meet service needs.
Competitive, dependent on experience and qualifications.
