Summary
Job objectives and responsibilities
To provide an efficient, reliable, and professional porter and messenger service, ensuring the timely movement of mail, deliveries, equipment, furniture, and other resources throughout the building.
The role supports the day-to-day operation of the workplace by assisting with meeting room setups, logistical requirements, and ad hoc requests, while maintaining high standards of customer service and operational efficiency..
Provide support across multiple floors and departments as required.
Prioritise workload effectively to meet service demands.
Adapt to changing priorities and respond to urgent requests throughout the day.
Undertake any other reasonable duties commensurate with the role.
Follow all health and safety procedures when carrying out manual handling and porterage duties.
Report hazards, incidents, and maintenance issues promptly.
Maintain the security and confidentiality of documents, parcels, and restricted-access areas.
Comply with all organisational policies and procedures.
Main duties
-
-To undertake all duties as described and in accordance with the site Assignment Instructions and risk assessment.
-To maintain the appropriate standards of conduct, dress, hygiene and appearance of a “Front of House” appointment, whilst being polite, efficient and presentable at all times.
-To make staff, colleagues and visitors feel welcome and to aim to make the guest's time at the office a business-like and pleasurable experience.
-To be readily able to answer any questions and / or find out the answer promptly in your area of responsibility
-To comply with the Clients policies on Recycling and waste disposal.
-To ensure that customer complaints are promptly dealt with, and action taken to prevent reoccurrence
-Replenish equipment and crockery etc that is required for service, before, during & after service.
-Ensure hygiene levels are maintained in accordance with current legislation and provide a safe environment for customers and staff.
-Ensure you comply with the current dress and personal hygiene regulations.
-Attend all mandatory meetings (including Topsides) and training courses as required for the betterment of the operation and personal development
-To undertake other reasonable tasks as requested.
-Collecting, sorting, and distributing incoming and outgoing mail, parcels, and courier items.
-Processing and dispatching post through approved postal and courier services.
-Delivering confidential documents and urgent correspondence securely and promptly.
-Receiving, checking, and distributing deliveries, supplies, and stock items.
-Assisting with stores management and the movement of goods throughout the building.
-Setting up meeting rooms, including arranging furniture and equipment to required layouts.
-Opening, closing, and reconfiguring partition walls to support meeting and event requirements.
-Preparing meeting rooms in advance for early morning meetings and high-profile visitors.
-Assisting with furniture moves, office relocations, and other porterage tasks.
-Supporting Building Management with operational and logistical activities.
-Removing waste, cardboard, and recyclable materials from offices and meeting areas.
-Responding to ad hoc requests and urgent operational requirements throughout the day.
-Providing excellent customer service to staff, visitors, contractors, and clients.
-Maintaining accurate records of deliveries, collections, and mail transactions where required.
-Ensuring compliance with health and safety procedures, particularly in relation to manual handling.
-Supporting the smooth day-to-day operation of the building through flexible and proactive service delivery.
-Completion of relevant paperwork as required, in line with Company procedures
-Liaise effectively with the customer at all times to ensure customer satisfaction
-Follow company policies and procedures in all respects
-Fulfil Health & Safety responsibilities at all times
-Undertake training as required
-Wear correct uniform

Person Specification
-Excellent Customer Service experience preferably with an emphasis on dealing with customers and clients both face to face, via e mail and over the phone
-Must pass clearance level with the MET which essential requirement for this role.
-Intermediate level Microsoft applications skills - outlook, word, excel
-Flexible and willing approach to work
-Ability to work on own initiative
-Enthusiastic and Hardworking
-Good time keeper
-Must be reliable and well organised
