Admin Support (Team Secretary) – Pharmacy Directorate
26.5 hours per week
Are you looking for a change? We have an exciting opportunity within the Pharmacy Directorate Office for a dynamic and organised individual to join our team. Based in the Pharmacy Department at County Hospital, the role provides secretarial and administrative support to the Pharmacy Senior Management Team, with particular support to the Chief Technician becoming a trusted member of the team and a central point of coordination across the directorate. The post holder will help ensure deadlines and turnaround times are met, follow Trust policies and procedures and communicate effectively across the service.
This is an ideal opportunity for someone with administration experience who enjoys working in a small, busy and friendly team.
Key duties of the role include:
- Providing comprehensive administrative and secretarial support to the Pharmacy Senior Management Team and the wider Pharmacy Directorate
- Delivering dedicated support to the Chief Pharmacy Technician and the Pharmacy Business Support Manager
- Proactively supporting the Pharmacy Administration Team to ensure the efficient and effective day to day operation of services including General Administration, Finance, Human Resources and Health & Safety
Qualifications
Essential criteria
- 4 GCSE (C and above including Maths and English) or equivalent
Desirable criteria
- RSA Stage III (or equivalent) in word processing/ typing
- DSE Assessor
- Knowledge, Skills, Training and Experience
Essential criteria
- Development and maintenance of robust systems to ensure effective administration and organisation
- Demonstrable experience of working in an office environment
- Demonstrable confidence/experience in Business Admin
- Taking minutes
- Evidence of using audio transcription to type minutes / documentation
- Diary Management
- Ability to work as an effective team member
- Good communicator – written and oral
- Knowledge of Health and Safety in the Workplace
- Competent in the use of Microsoft Word, Excel, Outlook, Intranet and Internet and other relevant computer applications
- Ability to deal confidently and directly with all members of healthcare teams and members of the public
Desirable criteria
- Ability to work unsupervised and within departmental guidelines/SOPs
- Pride in establishing and maintaining high standards of work and attention to detail
- Demonstratable experience of working in an office environment within a healthcare setting
- Knowledge of NHS policies
- Knowledge and experience of the hospital e-mail system
- Experience of preparing and managing rotas
