Job Summary
We are looking for a Charity Officer (Business & Finance) to join our team on a part‑time basis. This is a varied and important role that supports the smooth day-to-day running of the charity, particularly around finance, administration, and monitoring.
You’ll work closely with colleagues, helping to keep systems accurate, compliant, and efficient, while playing a part in a friendly and committed team.
This role would suit someone who enjoys organising, problem-solving, and supporting others, and who wants to contribute to meaningful charity work.
Duties
Main Objectives of the Role
1.1 To work as an active member of the charity, taking a vital role in the delivery of effective and efficient financial, business and administrative systems for M3 Project.
1.2 To support and positively promote the charity’s activities, development and profile to service users and the wider community, including assisting with publicity and fundraising events as required.
1.3 To maintain a working knowledge of and comply with M3 Project policies, procedures, and administrative systems.
Finance and Resources
2.1 Ensure compliance with all finance policies and recording procedures.
2.2 Maintain the charity’s accounting system (Xero) and internal controls, including regular reconciliations.
2.3 To assist in the collection and completion of all monitoring and reporting processes
2.4 To comply with M3 Project policy and procedures for handling and recording petty cash, and payments
2.5 To be responsible for the effective management, collection, processing and recording of housing benefit, rent payments, and service charge payments alongside the Registered Service Manager.
2.6 Manage the relationship with our bank, including posting payments for authorisation, managing cash flow, and moving funds between accounts as required.
Administration
3.1 To maintain accurate financial and administrative records in line with M3 Project procedures and external funders requirements including legal and contractual obligations associated with this.
3.2 To maintain and regularly update monitoring records for Lancashire County Council, including performance indicators in the agreed formats and to assist the RSM in the collection and completion of all monitoring and reporting processes.
3.3 To make and respond professionally and confidentially to all Enquires via telephone, email, visitors or post mail.
3.4 To maintain back-up copies of all financial data, administrative records and monitoring information.
3.5 To support and positively promote the charity's activities, development and profile to service users and the wider community including assisting in the organisation and participation in publicity and fundraising events as required.
3.6 To maintain the confidentiality of information and service users.
Health and Safety
4.1 To comply with all aspects of Health & Safety and risk assessments within the project.
4.2 To report any Health & Safety concerns immediately and take appropriate action to minimise any risks identified.
Working with Others
5.1 To effectively communicate internally and externally on a daily basis within policy and procedures.
5.2 To support other team members and volunteers in carrying out their duties effectively, including the effective communication of relevant information in a timely manner and in line with M3 Project procedures.
5.3 To work in a way which demonstrates respect for and understanding of the diverse needs and choices of the service users.
5.4 To be understanding and Non-Judgmental to service users' circumstances and lifestyles.
5.5 To be involved in developing and contributing to policies and procedures during staff meetings and consultations.
5.6 To participate in teamwork and events, including meetings and training. Participating in learning opportunities relevant to the post including all mandatory training courses either face to face or E-Learning.

6.1 To work flexibly as required by the needs of the project
6.2 To engage in regular supervision with your line manager and attend staff meetings and mandatory training and development days.
6.3 Liaison and engagement with other professionals as appropriate.
