Summary

Following significant growth over the last two years, we are seeking an experienced, highly organised, process driven Operations Manager. The successful candidate will thrive on creating clear, efficient systems, ensuring they are consistently followed, and continuously improving them to support the scaling of our services as demand continues to grow.
Overview
This is a key leadership role within Nessie, responsible for ensuring our services run effectively, safely, and efficiently as we continue to grow. You will take ownership of operational systems, processes, and people management, enabling
high-quality service delivery while supporting the organisation to scale sustainably.

Key responsibilities:
Operational Leadership & Systems
• Leading and improving day to day operational systems and processes
• Ensuring services run smoothly, efficiently, and safely
• Identifying opportunities for continuous improvement as the organisation grows
Service Delivery & Capacity
• Working closely with the Service Manager to maintain high-quality service delivery
• Supporting therapist allocation and operational capacity planning
• Helping ensure a positive experience for schools, families, and partners
• Ensuring accuracy and effective in-house digital reporting
Risk, Compliance & Quality
• Overseeing operational compliance, GDPR, and organisational policies
• Managing operational risk, audits, incidents, and complaints processes
• Supporting quality assurance and effective record keeping
People & HR Management
• Overseeing operational HR processes including recruitment, onboarding, performance,
and absence management
• Supporting staff development and operational training
• Helping build a positive, inclusive, and well-supported working culture
Financial Oversight
• Working closely with the Finance & Operations Assistant who manages day-to-day
financial processing
• Overseeing invoicing and operational finance processes
• Supporting operational reporting, planning, and organisational growth
• Working with the CEO to help scale systems and operations sustainably
• Managing and processing customer contracts and agreements within our digital system (Podio)
• Managing operational relationships with external customers and suppliers
Essential Skills & Experience
• Experience in an Operations Manager or similar operational leadership role
• Experience managing people, performance, and operational processes
• Experience with CRM systems (Podio or equivalent)
• Strong organisational, problem-solving, and systems-thinking skills
• Experience improving processes or implementing effective operational systems
• Ability to manage risk, compliance, or regulated activity, including GDPR requirements
• Strong communication and stakeholder management skills
• Ability to work effectively within a growing, resource-constrained organisation
Desirable Experience
• Experience working within the charity, education, health, or social care sectors
• Understanding of safeguarding processes
• Experience supporting organisational growth, change, or service scaling
• Experience contributing to reporting, forecasting, or operational planning
