Summary

We are looking for an individual with a proven office background who has previous admin experience, excellent communicationand organisation skills to join ouradmin team whom support the Hospital at Home Team.
The successful candidate will deliver a specialised, comprehensive and confidential, patient-centred clinical administrative and secretarial service to consultants within the Hospital at Home team. The postholder will support and manage administrative systems and processes to ensure the effective functioning of the team, in accordance with service requirements, protocols and procedures. They will be required to communicate sensitively and effectively with a wide range of individuals, including patients, medical staff, colleagues and external organisations, and act as a source of advice and guidance within their area of specialism.

The post holder will playan important role to provide efficient and comprehensive administration support. This will include an ability to deal with a high volume of calls in a pressured environment, have a good standard of English in order to format letters/documents , office experience and accurate data inputting skills are essential. You will be expected to manage and prioritise your own workload. The successful candidate must be able to build effective working relationships, with a professional, confident and mature attitude. The successful candidate must be flexible and adaptable to change.

• To act as a point of contact to ensure all enquiries are effectively managed and successfully resolved within a prompt timescale, ensuring all relevant personnel are informed as necessary and an appropriate record is maintained.
• To ensure, wherever possible, that all clinical documentation is up to date, in an orderly fashion and available whenever clinical decisions are being made, reporting exceptional circumstances where necessary.
• This will require effective collaboration with all relevant personnel to maintain an efficient administrative system, prompt transcription, manipulation and distribution of appropriate correspondence.
• To ensure the effective coordination and management of all patients under the care of the consultants and their teams, in line with local and national policies and performance targets.
• This will require close collaboration with the Booking Centre, Patient Access Team and Patient Flow Coordinator to ensure the waiting list is accurate and maintained in real time. The role will also support Operational and Clinical Leads to monitor the utilisation and effectiveness of outpatient clinics, ensuring compliance with established Patient Access Policies and procedures, and work in partnership with Theatre, Diagnostic and Ward teams to ensure a seamless, coordinated elective care pathway that is responsive to patients’ needs.
