Summary

A Vacancy at Birmingham and Solihull Mental Health NHS Foundation Trust.


To provide a fully comprehensive administration service to the Forward Thinking Birmingham (Division of the Children and Young Peoples Division). The post will be working in a fast paced environment, which requires a calm but proactive approach with the ability to multi-task whilst being thorough. Telephone calls and enquiries form a large part of the role as does a high volume of standard administrative tasks. Attention to detail is paramount in this post as is the ability to prioritise workload.
• Daily contact with Administration Leader prioritise work for the day/week.
• Administration duties, printing and photocopying, taking numerous telephone calls and enquiries, responding in a professional manner in line with data confidentiality procedures. Upload all referrals sent into RMC using EPR system to process.
• Deal with queries from service users, including GPs, patients and their representatives via the telephone in a professional manner that is consistent with legislation policies and procedures including data protection and confidentiality, sourcing any related information that might help deal with the query. Taking accurate written messages and passing more complex queries on to the relevant staff.
• Daily use of outlook for communication (sending/receiving e-mails), as well as booking and checking of meeting rooms and equipment booking.
• Provide a telephone answering service for service users and professionals, transferring to appropriate members of staff, or taking messages and ensuring that details are accurately logged in the when required.
• Upload new patient records, ensuring the relevant information is correct and up to date.
• Deal with incoming queries to administration team shared mailbox.
• To validate patient details and demographics in that any changes to patient details are updated on FTB database. .
• Complete daily closures and complete letters to be sent to service users directing them to correct pathways, provided by the clinical team.
