Summary

Main Duties and Responsibilities Patient Flow Clerical Officer Band 3 Provide senior clerical and administrative support to the Patient Flow and Site Coordination teams, contributing to the safe, effective and timely flow of patients across inpatient and outpatient areas. Maintain and update realtime patient flow information on Trust systems, ensuring accuracy of admissions, transfers, discharges and bed status, and resolving data quality issues independently where possible. Act as a key point of contact for ward teams, site managers and clinical colleagues, proactively liaising to support bed allocation, patient movements and capacity management. Support the coordination of patient admissions, internal transfers and discharges, ensuring all movements are accurately recorded and escalated appropriately in line with Trust escalation procedures. Prepare, monitor and distribute patient flow reports, ward lists and escalation summaries for operational, safety and capacity meetings. Identify, monitor and escalate delays, capacity pressures or data discrepancies to senior staff, contributing to timely operational decisionmaking. Respond to complex and sensitive enquiries from patients, relatives and staff in a professional and compassionate manner, exercising judgement and maintaining confidentiality at all times. Supervise, support and provide guidance to junior clerical staff as required, acting as a role model for good practice within the patient flow service. Ensure compliance with Trust policies including information governance, data protection, infection prevention and control, and health and safety requirements. Contribute to service improvement by identifying opportunities to improve administrative processes, data quality and patient flow efficiency. Work flexibly across wards, departments and shift patterns (including weekends or escalation periods) to meet service demands.
