Summary

Job Purpose The Culture and Inclusion Co-ordinator will provide dedicated administrative support to the organisations culture, equality, diversity and inclusion, and staff experience agendas. Working under the direction of the Head of Organisational Development, the postholder will act as a central point of coordination for routine culture and inclusion activity, maintaining accurate records and data, and providing administrative support, including maintaining documentation and coordinating meetings. The role will support the effective delivery of statutory and regulatory workforce requirements, including Gender Pay Gap Reporting, and the Workforce Race Equality Standard (WRES) and Workforce Disability Equality Standard (WDES), by coordinating data collection, maintaining action plans, and supporting reporting and governance processes. The role has responsibility for ensuring processes are followed and information is accurate and timely. The postholder will support staff network activity and ensure actions are progressed and monitored. The postholder will also coordinate staff survey activity, supporting survey administration, communications, collation of results and tracking of improvement actions. The role supports the Head of Service to coordinate the delivery of engagement activities that contribute to improving organisational culture and staff experience. Dimensions Communicate effectively with a range of internal stakeholders, including staff networks, managers and HR colleagues, to coordinate meetings, gather information and provide routine updates. Produce clear written communications, meeting documentation (agendas, notes, action trackers), and input data into standard report templates, adapting content for the needs of different audiences. Collect, collate and maintain various data sets, ensuring accuracy and consistency. Use established procedures to track progress against action plans (e.g. WRES, WDES, staff survey actions) and highlight gaps or issues to the Head of Organisational Development for review. Plan and organise own workload to support multiple programmes of work, including staff survey activity and EDI governance cycles and initiatives, within agreed timescales. Coordinate meetings, reporting deadlines and documentation, ensuring actions are recorded and followed up. Contribute to service improvement by identifying administrative or process improvements and suggesting changes within defined procedures. Key Responsibilities Coordinate the annual WRES and WDES reporting processes, including data collation, drafting reports, maintaining action plans and tracking progress against agreed actions. Coordinate the staff survey processes, including survey timelines, communications, response monitoring and collation of results. Maintain action plans arising from the staff survey and pulse surveys, tracking progress and supporting reporting to governance groups. Provide administrative and coordination support for meetings, including agenda preparation, minute taking, action tracking and reporting. Assist with the delivery of agreed EDI initiatives and awareness activity, under the direction of the Head of Organisational Development. Support staff networks in coordinating meetings, maintaining membership lists, drafting communications and tracking agreed actions. Provide administrative and coordination support for culture and engagement initiatives, including team briefings, workshops or improvement activity. Provide administrative support to organisational development activities, including meeting coordination and tracking actions. Support data collection and reporting relating to workforce culture, engagement and inclusion metrics. Assist with the collating of reports, briefings and presentations for internal use, ensuring accuracy and consistency. Support internal communications relating to culture, inclusion, staff survey outcomes and agreed actions. Maintain relevant intranet pages or shared resources to ensure information is up to date and accessible. Act as the first point of contact for routine enquiries relating to EDI, culture and staff experience activity, escalating issues as appropriate. Ensure all work is undertaken in line with CityCare policies, confidentiality requirements and information governance standards. Contribute to continuous improvement by identifying opportunities to streamline processes and improve coordination.
