An exciting opportunity has arisen for the appointment of an enthusiastic, methodical course organiser and administrator to join our busy Clinical Skills department, on the University Hospitals Coventry & Warwickshire Coventry site.

You will need to work as part of a team, managing conflicting priorities and using your own initiative to manage own workload effectively.

We are looking for someone who is at ease talking to a wide range of staff groups and have excellent interpersonal and customer service skills.

NHS experience preferred but not essential, it is more important to have a ‘can do’ attitude.

To provide a specialised, comprehensive and confidential administration service to the Clinical Skills Department. This exciting and challenging post will provide the opportunity to join well-established and successful team which support the provision of a full programme of courses for all grades of medical and multi-disciplinary staff both within the Trust and within the Region. The post holder will be responsible for supporting the Clinical skills department courses, manage the course administration and the room bookings. The post holder will work closely with members of the team to ensure that the department runs smoothly; and to ensure a comprehensive and excellent education service is provided. This will be done in accordance with Departmental, Trust and National standards, policies, and procedures.

A typical day will involve you responding to queries, correspondence by email and telephone, organising the administration of courses/events, organising catering and inputting to the various digital systems, for example; medical school databases, course activity databases.

• Responsible for the organisation and administration of Clinical skills courses, teaching sessions and induction programmes. Involvement in planning and development of new courses and recruitment of faculty where appropriate.
• Once organised the post holder will be responsible for booking candidates, room bookings, booking catering, ensuring equipment and facilities are set up as required and ready for the course.
• The post holder will oversee the smooth running of courses and will close down all the post course documentation including reconciling the finances, sending out certificates and other post course correspondence.
• The post holder will need to act as a senior point of contact for all relevant activities to ensure all enquiries are effectively managed and successfully resolved with a prompt time scale, ensuring all personnel are informed as necessary and an appropriate record is maintained.
• When events require it, e.g., early morning registration and post course clear down the post holder will need to work outside of normal working hours as required.
