Summary
This role is to provide a comprehensive and confidential secretarial and administrative service to the GPs and wider clinical team, supporting the effective day-to-day running of the practice and ensuring patients receive a professional and efficient service. Main Duties and Responsibilities:Secretarial Duties-Prepare, type, and process referral letters, medical reports, and general correspondence accurately and within agreed timescales. Manage incoming and outgoing correspondence including emails, letters, and electronic documents-Support GPs with administrative tasks and clinical documentation. Ensure urgent correspondence and referrals are prioritised appropriately. Handle telephone calls and patient enquiries in a professional and courteous manner. Liaise with hospitals, community services, and external healthcare providers regarding appointments, referrals, and patient information. Communicate effectively with clinicians, patients, and other members of the practice team. Administrative duties-Maintain accurate patient records and update clinical systems as required-Scan, file, and store documents in line with practice procedures. Process referrals using NHS electronic referral systems where appropriateMonitor and manage tasks/workflows allocated by GPs or management. Assist with general office administration and reception support when required. Maintain strict confidentiality of patient and practice information at all times. Comply with GDPR, NHS guidance, and practice policies and procedures. Ensure all work is completed in accordance with data protection and information governance requirements. Work collaboratively with reception, administration, and clinical staff. Provide cover for colleagues during periods of absence where necessary. Participate in staff meetings and training sessions as required This role is office-based within a GP practice with frequent use of computers and telephones
