Summary

1. Provide efficient and effective administration and secretarial support to the HOO & COM personally dealing with any confidentialdocumentation. 2. Responsible for the organisation of meetings as directed, liaising andcommunicating across various departments, both internally andexternally. Resolve conflicting diary appointments and schedules.Organise refreshments where appropriate. Compile and circulateagendas, record, type and distribute minutes of meetings as requiredwithin agreed timescales and according to Trust protocols. Accompanythe Area as required to record meetings and distribute minutes in atimely and efficient manner. This may involve attendance out of normalworking hours especially in the context of the major incident plan andassist with Major Incident logging. 3. Support the Area HOO & COM /Team Leaders by taking and typingnotes and minutes for meetings with staff members, this may includeformal meetings such as complaints, dignity at work, grievance,disciplinary and capability/conduct investigations and hearings. This willinvolve dealing with sensitive data. 4. In liaison with Trust managers/departments and external bodies collateall meeting documentation and briefing papers ensuring the Area arefully briefed prior to their attendance at meetings. 5. To act as the principal point of communication for the Area andexercise judgment when dealing with telephone and personalenquiries, liaising with internal and external sources to resolve anyproblems, queries or complaints using own initiative/judgement toaction accordingly. 6. Ensure appropriate deputising arrangements exist to cover plannedabsence and provide cover for colleagues as and when necessary.This should be in liaison with the Executive Assistants, thus ensuringappropriate cover is maintained throughout the administrative andsecretariat department(s). 7. Set up and maintain appropriate filing systems for storage of all papersand documentation in line with Trust policy and NHS RecordsManagement guidelines. 8. Collate, filter and distribute all incoming and outgoing correspondence,preparing standard responses as agreed and within the post-holdersknowledge and capability. 9. Collation of statistical information and returns, e.g. Appraisals, S&MTraining 10.To be able to utilise trust IT programs, to include GRS. Workforceplanning and ESR. 11.Assist / facilitate with the smooth running of the daily operationalresource centre requirements. 12.Maintain completion of station records and any other records asrequired, which will include confidential, sensitive information. 13.Attend other meetings, as necessary, and ensure all Trust meetingshave adequate secretarial support. 14.Ensure all domestic arrangements are made in respect of the Areatravel and accommodation requirements. 15.At all times, comply with Trust policies and procedures, in particularthose directly associated with the post-holders duties andresponsibilities. 16.Undertake, participate and assist with any training as may be requiredby the Trust. 17.Liaise with Team Leaders / Mentors regarding staff that may requiremonitoring e.g. Planning in of Appraisals. 18.This role description is not comprehensive but contains the mainresponsibilities and functions of the post. 19.Ensure all estate issues are dealt with including fire alarm checks, H&Sreports and estate management liaison.
