Summary

What skills and experience we're looking for

Under the direction of the Chief Financial Officer, to support in the day to day management and administration of the Trust’s financial administration, such as ordering, invoice processing and cash management.

Support Financial Management

• Support in providing financial management information to the Senior Leaders of the Trust.
• Monitor all accounting procedures and resolve any problems, including the ordering, processing and payment for all goods and services provided to the school; the operation and regular reconciliation of bank accounts; management of cashflows; maintenance of an assets register; and preparation of invoices, collection of fees and other dues, and recovery of bad debts.
• Support the preparation of final accounts and liaise with auditors as required.
• Support the preparation of financial returns for the DfE, and other central and local government agencies within statutory deadlines.
• Maximise income generation within the ethos of the school.
• Be a point of contact with central and other agencies with regard to grant applications, gifts and

other donations.

Support for Financial Administration

• Sourcing, ordering, processing and payment of goods and services provided to the Trust
• Investigate and resolve queries relating to deliveries/incomplete orders with departments and suppliers
• Ensuring Supplier details remain accurate and up to date
• Liaise with auditors where appropriate for job role
• Preparation of sales invoices
• Support in the recovery of bad debts.
• Responsible for collecting, sorting and monitoring physical income. Ensuring proper banking of monies.
• Manage the ordering and supply of school resources.
• Support in the monitoring all school trips and activities and ensure appropriate documentation is completed and submitted.
• Collection of fees and other dues. Primarily through management and reconciliation of Parent Pay into PS Financials.
• Assist with the maintenance of asset registers
• Undertake end of year procedures as necessary in accordance with closure of accounts programme.
• To support the Chief Financial Officer to prepare the preliminary annual budget plans.
• Operate relevant equipment/computer applications (e.g. Word, Excel, spreadsheets, PS Financials, Parent Pay and BromCom).
• Maintain stock and supplies, cataloguing and distributing as required.
• Operate CCA “shop” within the school.
• Undertake general clerical duties as and when necessary e.g. switchboard, reception duties.
• Assist in arrangements and payment of school trips.

Support General Administration

• Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.

• Attend and participate in relevant meetings as required.
• Participate in training and other learning activities and performance development as required.

Assist with pupil needs as appropriate during the school day.

Based in Stone, Staffordshire, The Key Educational Trust serves five academies and is part of the wider Stone School Partnership. The post is based at Christ Church Academy, Stone.

The role

As Finance Assistant, you will play a key role in the financial administration of Christ Church Academy and the wider Trust and ensuring orders, invoices and payments are processed accurately and in a timely manner. The post holder will support the Chief Financial Officer in delivery of financial management and financial administration services across the Trust, ensuring the day-to-day financial activities are run with efficiency and probity.

This role advertised is for 21 hours per week, with hours to be mutually agreed and working 39.2 weeks per year (45.28 weeks paid) primarily to fit with the monthly management accounts timetable. There is also some flexibility on contract hours for the right candidate.

The post holder will be working alongside a small Trust finance team.

The successful candidate

The successful candidate will be appropriately qualified with several years’ experience in a similar office environment at an appropriate level. We are seeking a self-motivated and driven individual who will be able to make an immediate impact with the team. The role may involve infrequent travel between Trust sites within Stone and Staffordshire.
