Summary
Sussex MSK Healthare seeking anenthusiastic and experienced Typistto join our friendly Secretarial Team atBognor Regis War Memorial Hospitalon aMaternity Covercontract.
We’re looking for someone who is highly organised, confident in communicating with a wide range of people, and able to work both independently and as part of a busy admin team. You’ll be proactive, able to follow direction when needed, and keen to contribute to ongoing service improvements across both administrative and clinical pathways to enhance efficiency and ensure an excellent patient experience.
You’ll be joining a diverse and supportive service that includesRheumatology, Rehab, the Pain Team, and Advanced Practitioners in Muscle, Bone and Joint care. Our administrative hub for the Arun and Chichester area is based at Bognor Regis War Memorial Hospital, with MSK services operating across Sussex, including Brighton & Hove.

Produce clinical correspondenceusing audio typing, meeting agreed accuracy, speed, and deadline standards.
Edit and format clinician‑generated lettersto ensure clarity, accuracy, and consistency.
Manage SystmOne tasks promptly, prioritising urgent actions, and sending approved letters electronically to GPs or printing and posting to patients.
Communicate effectivelywith clinicians, external agencies, and patients, ensuring professionalism at all times.
Maintain strict confidentialityand ensure all patient records and information are handled securely.
Arrange, amend, or cancel appointmentsvia telephone or written communication, responding to patient and staff enquiries.
Provide flexible administrative supportto the admin hub as needed.
Undertake any additional appropriate dutiesdelegated by the Lead Administrator.
Contribute to service development, supporting improvements to administrative processes, efficiency, and productivity.

Key Responsibilities Include:
• Maintaining accurate, confidential patient information onSystmOne
• Typing all clinic correspondence to high standards of accuracy and presentation
• Providing a full word processing service, includingaudio typing, within agreed timescales
• Using our digital dictation systemTPro(full training provided, along with SystmOne)
• Communicating with patients by telephone in a professional and courteous manner, ensuring urgent clinical enquiries are prioritised appropriately
• Recording and passing on messages clearly and accurately
• Working efficiently within a busy team, prioritising your own workload while supporting colleagues during periods of absence
Main Duties:
a) Using audio - type clinical correspondence according to clinical priority in line with agreed standards of speed and accuracy and within the locally and nationally agreed timeframes.
b) Edit and format letters created by clinicians
c) Deal with SystmOne tasks efficiently and in a timely manner, prioritising the urgent tasks, sending out electronically approved letters via email to GPs, etc printing and sending to patients.
d) Communicate clearly and effectively with other professionals, outside agencies and patients.
e) Ensure patient information remains confidential and that patient records are secure to assure confidentiality.
f) Use the telephone or written media to make or amend patient appointments and deal with enquiries from patients or staff.
g) To carry out varied admin duties as and when required to assist the admin hub.
h) To carry out other duties which fall within the remit of this post as required by the Lead Administrator.
i) To contribute to the development of administration services to improve
efficiency and productivity.
