Salary From £31,820 rising to £34,827 per annum
Hours: 35 Hours: 08:00 to 16:00 Monday to Friday with a requirement to work in office three days a week.

Job Purpose
The Operations Support Officer provides vital administrative, helpdesk, and customer service support across the University’s Estates and Facilities Directorate. The candidate acts as a first point of contact for queries relating to maintenance, security, cleaning, portering, post room, and other Estates and Facilities services, ensuring that requests are logged, tracked, and passed to the appropriate teams for resolution. With strong organisational skills and a customer-focused approach, the postholder supports effective service delivery and ensures that users are kept informed of progress and outcomes.
The role also supports financial and administrative processes, including raising purchase orders, arranging invoice approvals, assisting with supplier setup, and maintaining accurate records in line with University policies. Working closely with the Senior Operations Officer, the Operations Manager, and other section managers, the postholder provides flexible support to enable the efficient running of daily operations
MAIN DUTIES
1. Service Delivery & Operations
• Support the operation of the in-house helpdesk and job management systems (e.g. ASK and Invida), ensuring that requests are logged accurately, monitored, and directed to the appropriate team for action.
• Provide information and administrative assistance to enable the Senior Operations Officer and section managers to schedule and prioritise resources effectively in line with university requirements.
• Support the day-to-day use and administration of core IT and business systems (e.g. ASK, Invida, Business World, permit-to-work), ensuring data is recorded accurately and kept up to date.
• Raise and process purchase orders for goods and services, obtain quotes, liaise with suppliers, and support compliance with university procurement procedures.
• Assist with the setup of new suppliers and maintain accurate procurement and financial records.
• Coordinate signage requests, liaising with suppliers and arranging orders once approved.
• Provide administrative support to the work permit system and assist with ensuring contractor compliance with university health, safety, and regulatory requirements.
