Summary

Senior Document Scanning Operator | £28,000 per annum | Monday to Friday 8:00am – 4:30pm | Leading a small scanning team | Progression to Supervisor

We’re delighted to be recruiting for a growing, specialist document management and scanning business working with high-profile clients across legal, NHS, commercial and heritage sectors. This Senior Document Scanning Operator role is an excellent opportunity for someone ready to step into a senior, hands-on operational role, with genuine progression into a Team Leader / Supervisory position as the department continues to expand.

As Senior Document Scanning Operator, you’ll be a key figure within the scanning operation — combining technical scanning expertise, workflow coordination and team leadership. You’ll be fully trained on internal systems and equipment, including the client portal, and will play a vital role ensuring sensitive documents are scanned, registered and handled with exceptional accuracy and security.

This role will suit someone from a production, logistics, mailroom, records management or office-based operational background who enjoys responsibility, structure and developing others.

Key Responsibilities of the Senior Document Scanning Operator:

- Leading and supporting a small team of operators (growing to 5 in total)
- Accurately scanning and registering documents using specialist software
- Managing daily workflows and resolving operational issues as they arise
- Registering physical files using barcode systems and updating databases
- Preparing documents and boxes for secure storage
- Completing daily production worksheets and liaising with the Production Supervisor
- Ensuring strict adherence to data security, clean desk policy, H&S and company procedures
- Handling documents from a wide variety of formats (A5–A0, paper, microfiche, images)

What We’re Looking For:

- Strong attention to detail and a methodical approach
- Confident using Microsoft Word & Excel (intermediate level)
- Comfortable leading or stepping up within a small team
- Professional, reliable and seeking a long-term opportunity
- Awareness of quality procedures / ISO standards (desirable, not essential)
- Document handling experience helpful — full training provided
- Must be able to pass a DBS check due to confidential material
