Role Responsibilities:

We are looking for a Building Assistant to support DVSA operations across the following locations as Yeading, Slough, The new Hillingdon. The individual shall be predominantly based at Yeading. The role may also require occasional visits to Tunbridge Wells. You will be able to :

-Provide administrative support across a variety of tasks and systems.

-Act as a central contact for the team, managing calls and communications.

-Raise purchase orders and manage tasks within the CAFM system.

-Support monthly reporting and maintain shared drive documentation.

-Coordinate waste service bookings, fleet car servicing, and PPE/uniform/stationery orders.

-Strong IT skills, especially with Microsoft Office.

Job Description: Building Assistant (Office Environment)

Reports To: Facilities Manager / Contract & Compliance Manager

Location: Office Environment

Role Purpose

The Building Assistant supports the smooth and safe operation of the office environment by assisting with facilities coordination, room setups, security checks, contractor access, and compliance logging. The role focuses on operational support, safety, logistics, and customer service without performing cleaning or repair work.

Key Responsibilities

- Facilities & Building Support

-Conduct routine visual checks of office areas and report building issues to the Facilities Manager or contractors.

-Monitor meeting rooms, communal spaces, and kitchen areas to ensure they remain presentable and functional.

-Support office moves, furniture rearrangement, and workspace reconfiguration (without carrying out repairs).

- Health & Safety Compliance

-Carry out weekly fire alarm testing and assist with periodic emergency lighting checks.

-Ensure escape routes remain clear and compliant.

-Place safety signage (e.g., “Wet Floor”, “Restricted Area”) where required.

-Report any observed hazards or unsafe conditions.

- Security & Access Management

-Assist with unlocking and locking the office.

-Conduct basic security checks of windows, doors, and access points.

-Support reception with visitor access control.

-Escort contractors or engineers around restricted or secure areas.

- Logistics & Office Operations

-Set up meeting rooms, including furniture arrangement and equipment placement.

-Assist with parcel handling, Mail delivery coordination, and stock movement.

-Monitor stationery, consumables, and washroom/kitchen stock levels and report when replenishment is needed.

- Contractor Liaison & Compliance

-Escort contractors carrying out maintenance or statutory inspections.

-Update logbooks, meter readings, and compliance documentation.

-Help prepare spaces for planned preventive maintenance activities.

- Staff Support & Customer Service

-Respond to general office requests and support internal events or meetings.

-Provide assistance to staff, visitors, and contractors in a professional and courteous manner.

-Carry out Site Inductions.

-Allocate Car Parking spaces

-Provide Incident Control.

Skills & Attributes

Qualifications (Optional / Desirable)

Task Schedule

Below is a practical daily, weekly, and monthly schedule tailored to an office.















Morning

-Unlock building / assist with opening procedures

-Conduct visual walk‑through of all office areas

-Check meeting rooms for readiness

-Confirm all escape routes are clear

-Support reception with early visitor or contractor arrivals

-Check stock levels (stationery, kitchen items, printer supplies)

During the Day

-Setup/clear meeting rooms between bookings

-Assist with office moves or room layouts

-Receive and distribute deliveries

-Escort contractors carrying out scheduled works

-Respond to staff support requests

-Perform light security checks around office areas

End of Day

-Check meeting rooms are reset

-Ensure windows and doors are secure

-Assist with locking procedures

Weekly Tasks

-Fire alarm testing and log completion

-Visual inspection of emergency lighting

-Check first aid boxes (if required)

-Document and submit facilities issues for action

-Review consumables inventory and notify manager of replenishment needs

-Conduct a more detailed building walk‑through (plant rooms, service areas)

-Update compliance and contractor attendance logs

-Support planned maintenance visits (water hygiene, HVAC checks, etc.)

Monthly Tasks

-Complete meter readings (gas, electric, water)

-Assist with monthly H&S inspections (office walk‑round with FM or H&S rep)

-Test panic alarms, door access points (if required by the site)

-Review and record fire evacuation escape route condition

-Support monthly office layout checks and future planning (desk usage, storage)

-Prepare areas for monthly maintenance programmes

-Assist with audits, compliance reviews, or facilities reporting
