Summary
Role Purpose
To provide administrative support for the enrolment and functional skills processes, ensuring apprentices are onboarded smoothly and all compliance requirements are met. The role supports the Enrolments and Functional Skills Officer in delivering timely, accurate, and efficient learner onboarding and functional skills administration.
Key Responsibilities
Enrolments Support
Learner onboarding: Invite learners onto Aptem CMS and chase completion of onboarding tasks.
Employer records: Update new and ongoing employer details on Aptem.
Eligibility checks: Assist with learner eligibility, functional skills, and prior learning checks, including raising confirmation reviews.
Employer agreements: Send Employer Apprenticeship Agreements, ensure signed copies are returned, and confirm health & safety questionnaires and employer liability insurance certificates are in place before induction.
Initial assessments: Send assessments to learners and track completion.
Induction coordination: Book inductions, send diary invites, and ensure all compliance documents are signed and day‑1 learning is evidenced.
Cohort management: Obtain cohort numbers and pass to compliance for updating on the Apprenticeship Service Digital Account.
Functional Skills Administration
Exam bookings: Book functional skills exams and re‑sits, ensuring timeliness.
Learner communication: Send joining instructions and exam details to learners.
Certification tracking: Update mail log with certificates received, upload certificates to Aptem/admin systems, and pass evidence to compliance for funding claims.
Process monitoring: Support the Functional Skills Officer and Lead in ensuring smooth delivery of the FS process from enrolment to certification.
Skills and Attributes
Strong administrative and organisational skills with attention to detail.
(Desirable) Experience using learner management systems (e.g. Aptem CMS).
Ability to manage multiple tasks and deadlines in a fast‑paced environment.
Clear communication skills for liaising with learners, employers, and internal teams.
(Desirable) Understanding of apprenticeship compliance requirements (eligibility, agreements, health & safety).
Proactive and supportive team player, able to work under direction and independently.
Performance Indicators
Learners onboarded on Aptem within required timescales.
Employer agreements and compliance documents in place before induction.
Inductions booked and delivered in line with forecasted starts.
Functional skills exams and re‑sits booked promptly.
Certificates logged, uploaded, and passed to compliance without delay.
