Summary

REMORTGAGE – PARALEGAL
ROLE OVERVIEW

You'll play a key role in delivering an efficient, high-quality remortgage service from instruction through to completion and post-completion. The role involves managing a varied caseload, including complex remortgage matters, transfer of title transactions, and related securities work.

Working closely with colleagues, team leaders, and support functions, the successful candidate will help ensure service excellence, compliance standards, and operational targets are consistently achieved.

KEY RESPONSIBILITIES

Client & Case Management

• Manage a high-volume caseload of remortgage files from instruction to completion.
• Maintain accurate case records on the case management system.
• Provide timely updates to clients, borrowers, lenders, and brokers at key stages.
• Ensure emails, calls, and correspondence are handled within agreed service levels.
• Keep pipelines, diaries, and task lists up to date and well managed.

Technical Delivery

Managing files throughout the full end-to-end remortgage journey from instruction through to completion and post-completion. Reviewing mortgage offers and ensure all special conditions are satisfied within required timescales. Noting title deeds, title information, and complex title matters. Obtaining and reviewing searches, redemption statements, and all relevant pre-completion checks.

Together with preparing cash statements, completion statements, fee notes, COT documentation, securities, discharges, and registration forms. Completing registrations, including first registrations, and resolve any requisitions promptly. Liaising with lenders, clients, brokers, and third parties to progress matters efficiently through each stage of the transaction.

Team Support & Continuous Improvement

• Escalate technical, service, or operational risks promptly.
• Contribute to process improvement initiatives and efficiency opportunities.
• Support team targets through collaborative working and knowledge sharing.
• Provide guidance and technical support to administrative staff where appropriate.

Compliance & Quality Standards

• Ensure all disbursements are billed accurately.
• Adhere to internal procedures, regulatory requirements, lender instructions, and service level agreements.
• Maintain high standards of accuracy, file management, and client care.
• Identify and report complaints, issues, or risks in line with internal procedures.


SKILLS, KNOWLEDGE & EXPERIENCE

Essential
• Paralegal qualification or equivalent relevant experience.
• Strong working knowledge of the remortgage process from instruction to completion.
• Proven experience handling remortgage transactions independently.
• Excellent written and verbal communication skills.
• Strong organisation, prioritisation, and time management skills.
• Ability to work accurately under pressure and meet deadlines.
• Strong attention to detail and problem-solving capability.
• Positive, flexible, team-focused approach.
• Commitment to personal development and continuous improvement.

Desirable
• Experience within a high-volume conveyancing or remortgage environment.
• Experience using case management systems.
• Proficiency in Microsoft Office applications including Outlook, Word, and Excel.
• Experience with online lender portals and digital applications.
• Exposure to Scottish property registration processes and requisitions.
