As an Administrator supporting the Senior Management Team (SMT) within our Justice & Immigration division, you’ll play a key role in ensuring the smooth, secure and effective running of senior leadership activity at Yarl’s Wood IRC. You’ll provide high‑quality administrative and clerical support that enables leaders to focus on operational delivery, performance and compliance.

This is a trusted and varied role where professionalism, organisation and discretion are essential. Your work will help create impactful solutions by ensuring information is accurate, meetings are well‑supported and administrative processes run efficiently in a sensitive and complex environment.

What you’ll do as an Administrator
You’ll be entrusted to:
- Provide administrative support to the Senior Management Team, including minute taking, boardroom diary management, room bookings and organising official visitors.
- Ensure the Director receives required reports in a timely manner for all scheduled meetings, including daily management meetings.
- Collect, log, file and distribute departmental reports and documentation accurately.
- Answer calls to the Director’s office and liaise with internal and external stakeholders professionally.
- Maintain and update management report databases and folders.
- Uphold high standards of confidentiality and security, ensuring sensitive written and verbal information is handled appropriately.
- Support the organisation and administration of meetings and events, acting as minute taker when required.
- Process and distribute approved meeting minutes promptly and accurately.
- Manage and coordinate responses to correspondence, reports and documentation.
- Provide assurance that departmental templates are current, consistent and accessible.
- Complete stationery and stock audits and place orders when required.
- Assist with filing, photocopying and standardisation of documentation formats to ensure consistency.
- Support scheduled audits against contract requirements, Operating Standards and Detention Services Orders.
- Carry out additional administrative duties within your area of competence as required.
- Undertake any other reasonable duties as directed by the management team.

Vetting and checks:
This role requires formal CTC Security Clearance which includes more detailed background checks on employment, criminal record, and financial history to ensure suitability for working in secure environments. You will also require a Standard DBS check. This includes spent and unspent convictions, cautions, reprimands, and warnings as permitted under the Rehabilitation of Offenders Act.
Please note that UK residency requirements may apply for certain levels of clearance. You will also complete an Occupational Health Questionnaire so we can identify and provide any support you may need to undertake the role effectively.
