The Facilities Assistant provides essential administrative and operational support across all aspects of Facilities Management (FM), helping to deliver a high-quality, compliant, and customer-focused workplace experience.​

The role supports day-to-day FM service delivery, contract and project activity, compliance processes, and the coordination of both reactive and planned maintenance.

Job Description

This is a varied, fast-paced role combining front-of-house responsibilities with facilities coordination and administrative support.

Key Responsibilities

On a typical day, the Facilities Assistant will undertake a mix of the following activities:

Act as a first point of contact, welcoming visitors and supporting their on-site experience

Manage the Facilities Management mailbox, responding to queries and directing requests appropriately

Coordinate meeting room bookings, setup requirements, and porterage requests

Log, track, and oversee reactive maintenance issues and planned preventative maintenance (PPM) visits

Support new starter inductions, including Health & Safety and environmental briefings

Escort contractors on site and ensure full compliance with site procedures and safety requirements

Support audits, compliance checks, and general FM administration

Maintain accurate records and documentation to support facilities operations

Professional and Personal Competencies/Qualifications

Previous experience in an administrative, facilities, or customer-focused environment

Strong customer service and interpersonal skills

Ability to work effectively in a fast-paced, dynamic environment

Clear and confident communication skills, both written and verbal

A proactive, problem-solving mindset with attention to detail

Strong organisational skills and the ability to prioritise tasks

A collaborative team player with a flexible approach to work
