Summary

Job Title: Deputy Facilities Manager

Hours: Monday to Friday - 36 hours pw

GI Group are now seeking a Deputy Facilities Manager for our Public Sector client in York.

To ensure a consistent, compliant and welcoming workplace by managing day‑to‑day facilities operations - including tenant liaison, meeting‑room administration, cleaning, security and repairs/maintenance - so the site remains safe, accessible and attractive. The role drives operational continuity and statutory compliance while optimising resources and contractor performance to deliver a high‑quality occupant experience.

KEY RESPONSIBILITIES:

· Lead statutory and routine compliance checks; log actions in CAFM and close out defects to maintain a safe, presentable workplace.

· Manage contractors: approve RAMS, supervise work, audit performance and deliver corrective feedback.

· Resolve minor repairs, coordinate planned/reactive maintenance and oversee PPM delivery.

· Maintain site security (passes, keys, alarms, guarding) and provide concierge cover as required.

· Run building inductions, manage meeting-room bookings and support small office moves to ensure smooth operations.

· Own CAFM data and site FM procedures; suggest space and sustainability improvements.

· Record and investigate incidents, support risk assessments, and embed IERP/BCP. Ensure training and cover for first-aiders and incident wardens; act as Incident Manager/Deputy when needed.

· Represent FM in stakeholder and contractor meetings; communicate clearly across teams.

PERSON SPECIFICIATION:

· Experience in facilities management or building services, including contractor coordination.

· Competent with CAFM systems and maintenance scheduling.

· Strong H&S knowledge; NEBOSH/IOSH or equivalent desirable.

· Excellent communication, organisation and problem-solving skills
