We are seeking to recruit a motivated, caring, and compassionate individual to join ourDivisional Operational HR Teamin the role ofHuman Resources Assistant.

The successful candidate will join the Trust as anHR Apprentice. Upon successful completion of the apprenticeship, they will progress into the substantiveHuman Resources Assistantrole. This structured development opportunity provides an excellent pathway for individuals looking to build a career within Human Resources.

In this role, the post holder will provide integrated resourcing support, includingrecruitment and transactional HR services, working closely with colleagues across the Trust. The position requires a high level of organisation, professionalism, and attention to detail, ensuring services are delivered efficiently and to a high standard at all times.

This is an excellent opportunity to develop practical HR experience in a supportive healthcare environment while contributing to the delivery of effective workforce services.


You will act as a member of the divisions operational HR team and support the provision of an integrated resourcing function, which includes
Medical HR activity and includes recruitment activity and support across a range of transactional services.

The postholder will serve as the first point of contact for general HR enquiries, including managing the Ask HR Inbox.

We employ more than 6,500 staff who deliver compassionate care from our two main hospitals, Calderdale Royal Hospital and Huddersfield Royal Infirmary as well as in community sites, health centres and in patients’ homes. We also are incredibly proud to have almost 150 volunteers here at CHFT.

We provide a range of services including urgent and emergency care; medical; surgical; maternity; gynaecology; critical care; children’s and young people’s services; end of life care and outpatient and diagnostic imaging services.

We provide community health services, including sexual health services in Calderdale from Calderdale Royal and local health centres. These include Todmorden Health Centre and Broad Street Plaza.

• To participate in providing transactional support to the Divisional Operational HR team and wider Trust.
• To be the first point of contact for general enquiries including the Ask HR Inbox.
• Ensure all professional staff are suitably qualified and registered with the relevant professional body.
• Process Disclosure and Barring Service [DBS] checks and monitor compliance with the DBS Update service.
• Participate in internal and external careers and recruitment events as required.
• Attend and participate in regular team meetings.
• Adhere to the assurance framework for the delivery of the service.
• To develop effective working relationships within designated Division/Directorates.
• To carry out regular monitoring checks via ESR to manage organisational risk regarding transactional HR services, identifying and flagging issues to senior colleagues and/or managers including fixed term contracts, sponsorship certificates, professional registrations and right to work.
• Other transactional duties as required to support the Division/Directorates e.g. production of honorary contracts for clinicians.
• To escalate issues and take advice from the Human Resources Business Partner as appropriate.
• Provide initial communication with line managers regarding pay progression.
• Responsible for the management of TWIMC letters/reference requests
• Issue work schedules within the 8-week lead time.
• Running basic attendance management reports from ESR
• Organisation of employee relations meetings as appropriate.
• Recording on ESR the following:
o logging of sickness stages
o flexible working requests
o fixed term contracts
o disciplinary stages
o grievance stages
o bullying and harassment
o performance management stages
• Responsible for the provision of an effective, high quality resourcing service for medical and dental staff within the division.
• To comply with protocols to ensure recruitment complies with best practice in regard to advertising, recruitment and pre-employment checks.
• To ensure the resourcing activity is customer focused, efficient, effective and delivered to the highest possible professional standards.
• Involvement in lean processes/systems to ensure an efficient, effective and quality resourcing service.
• Administer the recruitment and selection process for Medical colleagues from vacancy control to appointment. Responsibilities to include; maintaining recruitment files, monitoring shortlisting and appointment outcomes, arranging interviews and ensuring preemployment checks are completed as per procedure.
• Input personal details for newly appointed staff promptly and accurately onto the Trust’s Payroll Information System (Electronic Staff Record – ESR).
• Responsible for the administration of the NHS Jobs website (e-recruitment).
• Responsible for completing pre-employment letters, offer letters.
• Identify any restrictions on working in the United Kingdom on successful candidates,
advising recruiting managers and ensuring that the Corporate
WOD team are aware to submit applications for Certificates of Sponsorship where appropriate.
• Collate electronic personal files for Medical staff for new starters, ensuring adherence to the file management protocol.
• Ensure recruitment systems and processes, standard operating procedures and any legislative developments or changes in Trust policy and procedures are adhered to.
• Ensure all systems and processes within the resourcing service are carried out in accordance with statutory requirements and agreed Trust policies.
• Contribute to the development of the department, supporting innovation and modernisation.
• Ensure payroll documentation is authorised and submitted in accordance with payroll deadlines.
• Doctor’s in training changeover processes to be completed as required.
