We’re looking for a highly organised and data-driven Works & Quotations Coordinator to support the delivery of reactive and remedial works across a national banking portfolio.

Job Description

This is a fast-paced, administrative and analytical role where you’ll manage a high volume of incoming work requests (typically 20-30 per day), coordinate quotations, and ensure works are accurately reviewed and processed within internal systems.

You’ll play a key role in ensuring that all chargeable works are correctly identified and recovered, supporting overall contract performance.

Key Responsibilities

Manage and allocate a high volume of remedial works quotations (typically £500-£10,000)

Review reactive and low-level works to determine whether costs are chargeable back to the client

Maintain and update records within CAFM systems (e.g. Maximo or similar)

Analyse data to support accurate commercial decisions and cost recovery

Work closely with operational teams and contractors to ensure smooth delivery of works

Support continuous improvement in quotation and chargeable works processes

Produce reports and insights using Excel and Power BI

Professional and Personal Competencies/Qualifications

Good understanding of reactive and remedial works within FM environments

Strong administrative and coordination skills, with the ability to manage high workloads

Advanced Excel skills (pivot tables, data manipulation, analysis)

Experience using Power BI or similar data visualisation tools

Familiarity with CAFM systems such as Maximo (or similar platforms)

Strong attention to detail and ability to make informed, data-led decisions
