We are looking for a Reactive Planner to coordinate reactive and planned maintenance activity across a busy facilities environment. This role focuses on managing work orders, supporting engineering teams, and ensuring customer requests are handled accurately and efficiently within contractual requirements.

Job Description

The Reactive Planner plays a key role in ensuring reactive and planned maintenance calls are processed from start to finish. Working closely with internal teams, subcontractors, and clients, you will manage work orders, raise purchase orders, coordinate attendance, and maintain accurate system records. You will also support reporting, compliance documentation, and customer communication while adhering to company processes, health and safety requirements, and service level agreements.

Key Responsibilities

- Coordinate reactive and PMC tasks received from internal teams and customers
- Receive, progress, and update work orders through the CAFM system
- Raise purchase orders and manage the approval process for subcontracted work
- Arrange quotations, scheduling, and site attendance with subcontractors
- Manage task queues, including prioritisation and triage of works
- Monitor completion, documentation, and compliance uploads
- Liaise daily with engineering teams on workload and availability
- Complete goods receipt processes and support financial accuracy
- Prepare and circulate reports as required

Professional and Personal Competencies/Qualifications

- Experience in a customer service, contact centre, or administrative environment
- Confidence handling calls, emails, and customer enquiries
- Strong organisation skills with the ability to plan and prioritise tasks
- Clear communication skills, both written and verbal
- Ability to work collaboratively within a team environment
- Competence using Microsoft Office applications
- Attention to detail when managing data, systems, and documentation
- GCSE-level education or an equivalent relevant qualification
