Summary
Radis Community Care have an opportunity for an Executive PA & Business Support Team Manager based at our Head Office in Tamworth.
Role Purpose
To provide high-level executive support to Board Directors while ensuring the effective running of Head Office and associated sites. The role combines complex administrative support, stakeholder management, office operations, and leadership of the Business Support function. The postholder enables Executive Directors to operate efficiently, ensures organisational compliance in key areas, and supports the smooth delivery of care services through robust administrative systems.
Main Duties and Responsibilities
The successful applicant will be expected to:
Executive Support
• Provide comprehensive administrative and secretarial support to Board Members.
• Manage complex calendars, arrange meetings, appointments, and national travel for all Board Directors.
• Handle communications on behalf of Executives, including phone calls, written correspondence, email screening, and drafting responses.
• Act as the primary point of contact for internal and external stakeholders on property-related matters including landlords, solicitors, tenants, and managing agents.
• Manage confidential information and sensitive issues with utmost professionalism and discretion.
• Support preparation for Board meetings including agendas, papers, minute‑taking and tracking follow‑up actions.
• Coordinate and process annual private fee increases, including data cleansing, mail merge, and distribution of communications to relevant services.
• Produce monthly rental invoices on behalf of Finance.
Office & Facilities Management
• Oversee day-to-day operations of the Head Office, ensuring an efficient and professional environment.
• Manage office supplies, equipment, procurement, and relationships with suppliers and contractors.
• Coordinate facilities management and maintenance across multiple sites .
• Lead on utility contract management for multiple sites and review energy contracts for best value.
• Ensure all offices comply with relevant health and safety and care sector standards.
• Organise company-wide events, leadership meetings, and internal engagement activities.
• Oversee internal communications to support business continuity and collaboration across teams.
Fleet & Contract Management
• Manage the organisation’s vehicle fleet including insurance, breakdowns, MOTs, servicing and general maintenance.
• Source, negotiate, and arrange new vehicle lease agreements ensuring cost‑efficiency and value for money.
• Maintain up-to-date fleet records and ensure compliance with relevant regulations.
Leadership of Business Support Function
• Manage the Business Support Team comprising of three Business Support Administrators.
• Allocate tasks, support development, and conduct regular 1:1s and performance reviews.
• Oversee delivery of operational support tasks including, but not exhaustive to:
• PAT, PUWER & LOLER testing coordination
• Hotel bookings
• Agency approvals
• ID badge production
• Private contract administration

Experience
• Significant experience as an Executive PA, Senior Administrator, or Office Manager supporting senior leaders or Board-level executives.
• Managing multi‑site office operations or facilities management.
• Demonstrated leadership or supervisory experience within an administrative or business support function.
• Working with external partners such as solicitors, landlords, contractors, and leasing companies.
• Preparing Board or leadership meeting documentation (agendas, minutes, actions).
• Worked within the social care, health or other regulated sector (highly desirable).
• Managing company vehicles, fleet contracts or leasing arrangements is advantageous.
Knowledge and skills
• Strong written communication skills; able to prepare professional correspondence and formal documents.
Advanced proficiency in Microsoft Office 365 Suite and collaboration tools.
• Strong knowledge of facilities coordination, supplier management and office operations.
• Understanding of basic finance processes including invoicing, budget tracking and fee adjustments.
• Skilled in data handling, mail merges, and document accuracy.
• Confident stakeholder management and relationship-building with internal and external partners.
Ability to maintain confidentiality and handle sensitive information with professionalism.
Ability to work occasional extended hours or manage urgent matters as needed.
