Summary

Bield Housing & Care is looking for a highly organised and proactive Executive Office & Business Support Administrator to support our Executive Team, governance activities, and wider organisation. About the Role
You will provide high quality confidential administrative and governance support across the organisation, including:
Executive Support
• Managing busy diaries, inboxes, travel arrangements, and expenses
• Organising and maintaining documents and meeting materials
• Supporting consultations, events, and project work
• Preparing documents and coordinating internal communications
Governance Administration
• Servicing Board and Committee meetings and maintaining accurate records
• Providing admin support for compliance activities, including maintaining registers, and co-ordinating policy review schedules
• Leading arrangements for AGMs/SGMs, including venue booking and documentation
• Assisting with Board member onboarding and training
• Managing governance materials on the intranet and Board portal
Office & Front of House Support
• Providing reception cover when required
• Monitoring shared mailboxes and managing enquiries
• Supporting office facilities, supplies, and issue reporting
About You
Experience
• Significant experience in a senior administrative role
• Skilled in meeting servicing, event coordination, and handling confidential information
• Experience with external partners and voluntary Boards/Committees (desirable)
• Experience in a Registered Social Landlord (desirable)
Skills
• Excellent written and verbal communication
• Confident minute taker with strong record keeping
• Strong MS Office skills (Teams, Outlook, Word, Excel, PowerPoint, SharePoint)
• Ability to prioritise workload and work independently
• Strong interpersonal and team working skills
• Awareness of governance/compliance processes (desirable)
Qualifications
• Standard Grade/National 4/5 in English & Maths (essential)
• HNC or equivalent (desirable)
Additional Requirements
• Ability to travel to Edinburgh and Glasgow offices
• Willingness to travel for training
