Summary

Job Title: Data Quality Lead Responsible to: Practice Manager / Assistant Practice Manager Hours of Work: 37.5 hours per week, worked Monday to Friday across 5 working days Annual Leave Entitlement: 20 days annual leave + 8 bank holidays (pro-rata) Location: Larksfield and Arlesey Medical Partnership Job Summary Larksfield and Arlesey Medical Partnership are seeking an experienced, motivated, and detail-oriented Data Quality Lead to oversee and manage all aspects of data quality within the practice. The post holder will be responsible for ensuring the accuracy, completeness, and integrity of patient records, while leading the data quality function across the organisation. This includes managing clinical correspondence workflows, maintaining high standards of clinical coding, and supporting key performance areas such as QOF. In addition, the Data Quality Lead will provide line management and leadership to the data quality team, including supervision, performance management, HR processes, and staff development. The role will play a critical part in driving continuous improvement, ensuring compliance, and supporting safe and effective patient care. Main Duties and ResponsibilitiesLeadership and Line Management Provide day-to-day leadership and line management of the data quality team. Oversee staff workload allocation to ensure efficient and timely completion of tasks. Conduct appraisals, performance reviews, and regular one-to-one meetings. Manage annual leave requests, sickness absence, and other HR processes in line with practice policy. Support staff training, development, and competency in clinical coding and workflow processes. Address performance concerns and implement improvement plans where required. Workflow Management Oversee and manage all clinical workflow processes to ensure timely and accurate completion. Monitor workflow queues and prioritise workload in line with clinical risk and urgency. Ensure incoming electronic communications are appropriately actioned, coded, or escalated. Identify inefficiencies in workflow processes and implement improvements. Clinical Coding and Correspondence Ensure accurate processing and coding of clinical letters, discharge summaries, and hospital communications. Maintain high standards of clinical coding in line with national and local guidelines. Oversee data entry relating to diagnoses, medications, test results, and follow-up actions. Provide guidance and quality assurance on coding standards across the team. Data Quality, QOF, and Performance Monitoring Lead on data quality initiatives to ensure accuracy and completeness of patient records. Support achievement and maintenance of QOF and other contractual targets. Identify data gaps, inconsistencies, and risks, and implement corrective actions. Produce and analyse data quality reports to inform practice performance. Work closely with management and clinical teams to improve data-driven outcomes. Patient Recalls and Monitoring Oversee and coordinate patient recall systems (e.g., chronic disease reviews, screening, immunisations). Ensure recall processes are effective, timely, and accurately recorded. Monitor recall performance and implement improvements where necessary. Audit and Compliance Lead and support data quality audits across the practice. Ensure compliance with NHS standards, policies, and best practice guidance. Use audit findings to drive continuous improvement in data quality and processes. Administrative Oversight Oversee administrative processes related to data quality, including scanning and record management. Support practice searches, reporting, and administrative projects as required. Communication and Teamwork Work collaboratively with clinicians, administrative staff, and management. Act as a point of escalation for complex data quality or workflow queries. Communicate effectively to ensure clarity, accuracy, and consistency across the team. Confidentiality and Information Governance Ensure compliance with GDPR and NHS information governance standards. Maintain strict confidentiality and ensure secure handling of all patient data. Other Duties Undertake any other reasonable duties required to support the effective running of the practice.
