Summary
Short Description: This apprenticeship is a great opportunity to build office and business support skills while working at the heart of a busy, friendly organisation. You’ll gain hands- on experience in areas such as administration, communication, organisation, and using key office systems and tools. Full Description: Workplace Coordinator Apprentice
Role Overview:
· We're looking for a friendly, proactive, and professional Apprentice Workplace Coordinator to join our team. Someone with a warm, welcoming and efficient personality, who can provide exceptional service and contribute to a great overall workplace experience.In this role, you'll be the first point of contact for our team and visitors alike and create an excellent impression of Oakland, greeting people as they walk through our doors.
· You’ll play a key part in helping our office run smoothly and looking its best, maintaining a well-stocked and organised professional environment, supporting events and coordinating meetings.
· The hours stated above may require some flexibility from time to time to support some of our larger events throughout the year.
What you’ll be doing:
· Office Coordination You’ll be the first point of contact for all workplace matters, ensuring the smooth day-to-day running of the office.
· This includes greeting visitors, managing incoming calls, overseeing a busy diary of internal meeting room bookings, maintaining office consumables, and carrying out regular stock checks (including stationery, IT and kitchen supplies).
· Monitoring the office desk booking system to ensure a seamless and positive experience for all our colleagues using the space and ensuring the office and meeting rooms look their best.
· As part of your role you will also be responsible for organising team lunches, supporting office events and travel arrangements and general office tasks. Stakeholder Management You will build strong, positive relationships with employees and key stakeholders. Responsibilities include arranging travel and accommodation, coordinating internal events, and distributing important communications across the business.
· Building Services & Maintenance Conduct regular office inspections, produce reports, and liaise with suppliers to initiate or follow up on maintenance work as required.
· Health, Safety & Environmental Assist in ensuring essential safety training such as Fire Wardens, First Aiders, and Manual Handling are accurate and up to date.
· You’ll also support in the review and maintenance of fire procedures, fire risk assessments, and compliance signage.
· Event Support & Employee Experience Assist in the organisation of engaging, high quality, employee focused office events and initiatives.
· People Team Support Assist with preparing new starter induction packs, ordering IT equipment, organising employee gifts, and supporting celebratory moments across the business.
What We Need From You
· Strong communication skills and confidence using the Microsoft Office suite
· Highly organised, proactive, and resourceful
· Good written and verbal communication abilities
· Solid IT literacy and familiarity with all Microsoft applications.
· This role is ideal for someone who enjoys supporting a busy office environment, takes pride in their work, and can manage their time effectively.
· Excellent attendance, reliability, and attention to detail are essential.
Future Prospects: This role is supporting multiple functions in the business and after completing the apprenticeship, our intention is to hire into a full-time permanent similar role. Other options include specialising in something else, including HR, Marketing, Sales, Finance, or IT. This role is designed to give exposure to core business areas and we are open to multiple different options, depending on the successful candidate's preferences.
Qualifications Required: GCSEs (or equivalent) in English and Maths
