Summary
This role is based in the UK and will be working on site in our UK based College.
In order to comply with our mandatory pre-employment checks, the successful candidate will be required to provide original identification documents in person to our UK based People Services Department.
We're looking for someone to join our Warwick Trident team as a School Coordinator on a permanent, full time, term time only basis in this new exciting role as part of WCG Drive. This is a 14-16 Direct Entry Provision at our Trident College campus from September 2026. Students studying here will study 3 core GCSEs plus a Level 1 or 2 qualification in either Engineering or Motor Vehicle.

BACKGROUND TO POST
To work alongside the Head Teacher to provide administrative and operational support to ensure the smooth running of the school. The role involves coordinating communication, managing student records, supporting enrolment processes, and assisting with examinations, attendance, and reporting.
MAIN DUTIES & RESPONSIBILITIES
Student Administration
● Maintain accurate student records and update information in the school management system (e.g., Pro Solution).
● Add and manage student register data within the system.
● Assist with the preparation and distribution of school reports.
● Support the administration of student documentation and academic records.
EHCP Administration
● Provide administrative support for Education, Health and Care Plans (EHCP).
● Maintain records related to EHCP students and ensure documentation is complete and up to date.
● Liaise with relevant staff and external agencies where required to support EHCP processes.
Attendance & Reception
● Monitor and manage daily student attendance.
● Follow up on absences and maintain accurate attendance records.
● Provide reception support when required, including welcoming visitors and responding to general enquiries.
Communication & Parent Engagement
● Manage and coordinate communications from the school to parents and guardians.
● Act as a point of contact for parent queries and provide appropriate information or direct enquiries to relevant staff.
● Support communication regarding school events, reports, and important updates.
Admissions & Enrolment
● Support the application and enrolment process for new students.
● Request and collect required documentation and additional information from applicants.
● Maintain accurate records of applications and admissions.
Interview & Admissions Coordination
● Schedule and coordinate interview dates for prospective students.
● Communicate interview details with applicants and relevant school staff.
Exams Administration
● Assist with the organisation and administration of school examinations.
● Support exam scheduling, documentation, and coordination with teachers and invigilators.
● Ensure exam records and processes are maintained in line with school policies.
The list of duties is not exhaustive but outlines the main features of the post at appointment and may vary as the job evolves without affecting the nature of the duties or the responsibility level.
In order to support during busy exam periods, you may be asked to undertake exam invigilator duties. The College will provide training.

Essential Qualifications & Attainments:
✓ GCSE Grade C or above in English and Mathematics, or Level 2 equivalent qualification.
✓ Strong organisational and administrative skills
✓ Excellent communication skills, both verbal and written
✓ Attention to detail and data accuracy
✓ Demonstrate an understanding of working within a confidential environment. ✓ Working knowledge of information technology such as e-mail, the internet and other software applications.
Desirable Qualifications & Attainments:
✓ Previous experience in school administration or coordination preferred
✓ Experience working with student management systems
