Summary

Construction Coordinator

My client is a leading housing developer who deliver new build homes in the Northwest region. They currently have a requirement for a confident and organised Construction Coordinator to cover maternity leave for a 12-month fixed term contract.

About the role of a Construction Coordinator

The Construction Coordinator will be working closely with the Construction Director and Health and Safety Director managing their diaries, arranging meetings, collating monthly board reports and providing general administrative support to the site teams and head office.

Responsibilities for a Construction Coordinator

  • Maintain and manage diaries for the Construction Director and Health & Safety Director.
  • Arrange meetings, site visits, and construction-related events as required.
  • Provide general administrative support to site teams and head office.
  • Provide reception cover as required, including answering telephone calls and directing enquiries.
  • Support Customer Service by answering calls when necessary.
  • Collate monthly Board Reports for Construction and Health & Safety departments.
  • Ensure all weekly and monthly construction paperwork is collected, organised, and stored correctly.
  • Archive all site documentation electronically.
  • Ensure all archiving and documentation is in line with audit and compliance requirements.
  • Ensure all filing systems are up to date and audit-ready.
  • Monitor training requirements for the Construction Department and maintain accurate training records, sharing updates with HR.
  • Arrange training courses and seminars as required.
  • Administer CITB courses as instructed by the Health & Safety Director.
  • Collate training information and assist with preparation of the annual Training Budget.
  • Support Health & Safety with ISO 45001 audits
  • Support Health & Safety with CITB audits for training courses.
  • Check the office defibrillator monthly to ensure it is fit for purpose.
  • Process expense and mileage claims for the Construction Director, Health & Safety Director, and site staff.
  • Process and Manger Company Credit card for Construction Director and Health and Safety Director.
  • Manage and process invoices for the Construction Department.
  • Update Sales Forecasts for both Sales and Build teams.
  • Maintain Construction staff holiday records.
  • Print and distribute site plans weekly and update site layout files.
  • Register new sites with the Considerate Constructors Scheme.
  • Update weekly progress reports for all live sites and distribute in a printable format.
  • Collate and store Fire Evidence photographs Monthly.
  • Convert drawn build routes into electronic files for distribution.
  • Order uniforms for new starters and manage replacement uniforms for existing staff.
  • Collate, update, and issue monthly subcontractor scoring, including producing certificates for site teams and contractors.
  • Support onboarding of new staff, including receipt and recording of existing training certifications.
  • Maintain and monitor Viewpoint and Field View software as a superuser, including updating construction plans and programmes.
  • Provide IT support across the Construction Department and wider business when required.
  • Maintain and monitor Dochosting software as a superuser, including adding and removing delegates on the software when necessary.

Requirements for a Construction Coordinator

  • You'll be working Monday - Friday between 8am - 16:30pm.
  • Suitable applicants must have a sales background with at least 2-3 years experience in a administration or similar role within the Construction industry.
  • You will need to be courteous and professional at all times, organised, self-motivated, honest and trustworthy, and a willing team player who will make an immediate contribution.
  • Strong proficiency in Microsoft Office (Excel, Word, Outlook).
  • Ability to manage electronic filing systems and compliance records.
  • Professional and approachable manner when dealing with staff, contractors, and external bodies.
