The Administrative Officer / Receptionist will provide efficient and professional administrative support to ensure the smooth day-to-day operation of the provision. The postholder will act as the first point of contact for visitors, parents, professionals, and learners, providing a welcoming and professional reception service.
The role requires strong organisational and communication skills alongside confidence in using databases and Microsoft Office systems to manage data, maintain accurate records, and support operational processes such as admissions, attendance, safeguarding records, and general administration.
The Administrative Officer / Receptionist will work both independently and as part of the wider MIAG team, demonstrating initiative, discretion, and excellent time management while supporting the overall effectiveness of the provision.Key Responsibilities:
Reception and Front of House
Act as the first point of contact for visitors, parents, professionals, and learners, ensuring a welcoming and professional reception service
Manage telephone enquiries, emails, and general communications in a timely and professional manner
Ensure safeguarding procedures for visitors are followed, including signing-in processes and ID verification
Support a positive and organised reception environment
Administrative Support
Provide comprehensive administrative support to the leadership team
Maintain accurate records and filing systems, both electronic and paper-based
Support the administration of admissions, attendance monitoring, behaviour recording, and safeguarding documentation
Produce reports, letters, and documentation as required using Microsoft Office applications
Support the coordination of meetings, including preparing documents and recording key information where required
Data Management and Systems
Input, update, and maintain learner and organisational data across a range of databases and information systems
Ensure data is accurate, up-to-date, and managed in line with data protection requirements
Support the analysis and interpretation of data to assist leaders in monitoring attendance, behaviour, and other operational areas
Produce basic reports and summaries to support monitoring and evaluation
Diary and Organisational Management
Manage diaries, appointments, and scheduling for senior staff as required
Coordinate meetings, visits, and appointments with parents, professionals, and external agencies
Support the organisation of events, reviews, and internal meetings
Ensure effective time management and organisation of administrative priorities
Communication and Team Working
Work collaboratively with teaching, pastoral, and leadership staff to support the smooth running of the provision
Build positive relationships with learners, families, and professionals
Demonstrate initiative and the ability to work independently when required
Maintain a professional, calm, and organised approach in a busy working environment
Safeguarding and Professional Responsibilities
Adhere to MIAG’s safeguarding and child protection policies at all times
Maintain confidentiality and professional boundaries
Ensure accurate recording and handling of sensitive information
Participate in training, supervision, and performance management processes
