Summary

Allstaff Office Division are delighted to bring to the market the role of Project Administrator for our manufacturing client based at the Inchinnan Business Park.

Location: Inchinnan, Renfrewshire

Type: Temporary Full Time – Maternity Cover 6-7 months

Job Responsibilities:

Manage the submission, collation, accuracy, and traceability of documentation for multiple sales order projects, ensuring all deliverables meet customer and project requirements while supporting the Project Management team
Essential Duties and Responsibilities:
Policies & Procedures
Follow all company policies and procedures to ensure work is carried out consistently and to required standards.
Everyday Operations
Support the daily operational needs of the Project Management department to maintain continuity of work.
Health & Safety, Environmental and Quality
Comply with all relevant HSE and quality requirements to maintain a safe and compliant working environment
Role Specific Responsibilities:
Review SDRLs received after project order allocation in collaboration with the Project Coordinator.
Record project documentation requirements in SharePoint, assigning unique document references and revision statuses.
Prepare internal documentation aligned with project specifications
Coordinate and expedite documentation requirements with internal teams and external suppliers.
Review documentation to ensure full compliance with customer and project requirements.
Track documentation progress and submissions using SharePoint.
Provide customers with regular updates on documentation status throughout the project.
Submit documentation to customers according to agreed schedules and using approved transmittal templates.
Obtain formal acceptance of documentation when required.
Store documentation securely to ensure easy access, version control, and full traceability.
Produce documentation progress reports for management.
Compile and submit the final data dossier or documentation pack to the customer
Key Skills and Experience

Previous experience in a Document Control, ideally in a fast-paced, customer focused environment.
Strong organisational and time management skills, with the ability to manage documentation for multiple projects simultaneously.
Proactive problem solving to ensure that any bottlenecks are addressed and resolved quickly.
Excellent communication skills both written and verbal.
Excellent proficiency in Microsoft office specifically excel
Strong attention to detail
Previous experience using ERP system desirable.
Hours of Work: Monday to Thursday 8:30am – 4:30pm and Friday 8:30am – 3:30pm with a 30 minute break each day.
