Summary

Role purpose
Spalding BID Ltd is seeking a highly organised and proactive Manager’s Assistant to provide essential administrative, organisational, and operational support. This role is ideal for someone who thrives in a varied position, enjoys managing multiple tasks, and is confident working both independently and collaboratively.
Key Responsibilities
Administrative Support
• Provide day‑to‑day administrative assistance to the Manager and Board of Directors.
• Manage correspondence, enquiries, emails, and phone calls promptly and professionally.
• Organise meetings, events, and appointments, including diary management and minute‑taking.
• Prepare reports, presentations, newsletters and documentation as required.
Organisation & Coordination
• Maintain organised filing systems, digital and physical, ensuring accurate record‑keeping.
• Support the administration and if required coordination of projects and tasks, ensuring deadlines are met.
• Assist with scheduling, planning, and monitoring operational activities.
Database & Information Management
• Maintain, update, and manage databases accurately and efficiently.
• Maintain, update and push out notifications on the Hello Spalding digital platform
• Extract, analyse, and present data when needed.
• Ensure information is stored securely and complies with data protection requirements.
IT & Office Software
• Utilise office software tools (e.g., Microsoft Office, Teams, SharePoint, Excel) to support daily operations.
• Troubleshoot basic IT issues and liaise with support team when necessary.
• Assist with digital workflows, form creation, online processes, and cloud-based systems.
Engagement & Communication
• Act as a professional and approachable point of contact for BID members, businesses, stakeholders, and the public.
• Proactively research community groups and events in the Spalding BID area for potential inclusion on the Hello Spalding App.
• Where required support internal and external engagement activities,
• Preparing and distributing communications such as press releases, Enews.
• Maintain strong working relationships across the team and with external colleagues.
Skills & Experience
Essential
• Strong organisational skills with excellent attention to detail.
• Experience in administrative or assistant roles.
• Confident using IT systems and office software, especially Microsoft 365 applications, including online tools such as Teams and Zoom.
• Experience managing or working with databases.
• Ability to prioritise tasks and manage workload in a fast-paced environment.
• Strong written and verbal communication skills.
• Professional, friendly, and confident in stakeholder engagement.
• Ability to work independently and remotely when required.
Desirable
• Experience in hybrid working environments.
• Knowledge of data handling or reporting.
• Experience supporting projects or senior staff.
Personal Qualities
• Reliable, proactive, resilient and adaptable.
• Approachable and collaborative, with a positive attitude.
• Problem‑solver with a willingness to learn.
• Discreet and trustworthy with confidential information.
