Summary

Exams Officer

ROLE DESCRIPTION

Key Responsibilities

As our Exams Officer, you will:

  • Accurately register students for exams and qualifications in line with awarding organisation regulations.
  • Prepare exam timetables and ensure timely communication to staff and students.
  • Schedule and organise all exam resources, including invigilation and special arrangements.
  • Store, prepare, and issue exam papers securely and in compliance with regulatory standards.
  • Administer and issue exam certificates in accordance with awarding body guidelines.
  • Provide advice to the Exams Team and wider College on awarding organisation regulations.
  • Monitor and communicate updates to qualification and exam regulations.
  • Deliver invigilation training and support compliance during exam periods.
  • Invigilate exams (both paper-based and online) where required.
  • Maintain accurate student exam records supporting ILR compliance.
  • Develop and improve use of EDI and other systems to enhance accuracy and efficiency.
  • Process awarding body invoices and support budget monitoring.
  • Participate in enrolment events, including evenings and occasional Saturdays.
  • Provide cover for team colleagues as needed.

About You

We are looking for someone who is:

Essential Qualifications & Experience

  • NVQ Level 3 in Administration or equivalent experience.
  • Strong IT skills, including use of spreadsheets, email, and word processing.
  • Experience delivering excellent customer service.

Knowledge

  • Understanding of office and administrative systems.
  • Commitment to confidentiality and data protection.

Skills

  • Exceptional attention to detail and accuracy.
  • Able to work independently and manage competing deadlines.
  • Strong communication skills-both written and verbal.
  • Highly organised with excellent diary and workload management.
  • Ability to build effective working relationships across departments.
  • Flexible, resilient, and able to remain calm under pressure.
