Summary
Reports to: Assistant Manager Responsible to: GP Partner Main purpose of job: Your role is to ensure a professional, consistent and efficient service is provided for all users of Ellenbrook Medical Centre. Responsibility for patient care To direct patients to areas within the surgery as appropriate To be sensitive to the patients needs and requirements To adhere to patient confidentiality To book appointments, take messages, process prescriptions as requested To ensure patients samples are sent/given to appropriate department/person Report safeguarding concerns where appropriate. Computer input GP links, registration Registering new/temporary patients Appointments Repeat prescriptions Results, discharges, A/E report, investigations Respond to Emis Access requests Actioning Docman Daily use of NHSmail Reception duties Answering telephone Taking messages Reception desk Receiving patients Making appointments Sending patients into surgeries Prescriptions Dealing with daily post Receiving samples from patients Liaising with attached staff Filing Receiving reps and visitors to the surgery Filing in, photocopying, recording and sending hospital referrals when requested Obtaining results/ letters from hospital as requested Ensuring waiting room kept tidy Duties other than reception Answering telephone Issuing prescriptions Actioning messages, tasks and Docman workflows Scanning Getting baby clinic supplies together Filing Organising/ assisting practice nurse and doctors with audits and chronic disease management clinics Attending practice meetings Keeping diary for non-patient appointments for doctors and nurse Opening mail and ensuring all letters get to recipient as soon as possible Receiving messages for and helping other ICB members as necessary Answering general enquiries, explaining practice procedures, receiving and noting down visit requests Other general administrative duties as may be requested by doctors, nurse or practice manager. Acting as chaperone for clinical staff if needed Ensuring areas are kept tidy Ensuring trolleys and doctors offices are stocked Photocopying Assisting locums with any queries Registering patients Responsibilities for human resources To develop and improve competencies by attending meetings and training and through appraisal To keep to hand any memos or references which are appropriate for your daily tasks Responsibility for physical and financial resources To take steps as appropriate to ensure personal safety within the practice To ensure good housekeeping within the surgery To be responsible for monitoring stock to ensure adequate supplies and reporting when stock needed To ensure the waiting room and other areas are kept tidy and free from any hazard To return patients records to the Health Authority when requested ensuring full computer records are also sent To ensure doctors trolleys in surgeries are fully stocked, bins and sharps boxes changed To give receipt to practice manager for any goods bought for the practice with money from the petty cash To ensure filing is kept up to date To give patients a receipt for any money taken for private work done by the doctor Communication and leadership To open and deal with post from all sources Making sure all messages are full, correct and ready to present to the appropriate person To communicate with all professionals when necessary written and verbal To communicate with team members within the practice To attend meetings when required To record all relevant and important information appropriately Planning and organising To plan and prioritise allocated workload To collect relevant data and information To have correct paperwork ready for immunisations and baby clinics To take appropriate action in relation to risks Partnership working To work closely with team members within the practice To encourage an open, blame free culture To interact with all other CCG/ICB/NHS England staff, social services, the voluntary sector and other appropriate agencies to ensure continuity of patient care To work with all members of the primary health care team To liaise when necessary with secondary services Analysis and data management To collect and input relevant data on to the computer system To ensure the correct use of codes To scan or record documents into patients computer records as appropriate To ensure updates to patients computer/written records where appropriate To deal with requests from solicitors/insurance companies/employers requiring copies/reports of patients records Research, development and audit To make effective use of training to update knowledge and skills Equality and diversity You will support the equality, diversity and rights of patients, carers and colleagues, to include: Acting in a way that recognises the importance of peoples rights, interpreting them in a way that is consistent with practice procedures and policies, and current legislation Respecting the privacy, dignity, needs and beliefs of patients, carers and colleagues Behaving in a manner which is welcoming to and of the individual, is non-judgmental and respects their circumstances, feelings priorities and rights You will not discriminate against any person for any of the following reasons Sex Gender reassignment Marital status Age Disability Race Religion Sexual orientation Maternity/pregnancy Due to the practices commitment to continuous improvement, it is likely that the post will evolve over time.
