Supply Chain Administrator
The Role
The Supply Chain Administrator will provide essential administrative, data, and coordination support across Barhale’s supply chain activities. This role is central to maintaining accurate supplier records, managing documentation, supporting the administration of supplier frameworks and agreements, and ensuring the Supply Chain Database (SCD) remains up to date and reliable. They will report to the Supply Chain Compliance Officer, while also working closely with the Supply Chain Manager and Procurement team. They will help ensure the supply chain is efficient, compliant, and aligned with Barhale’s commercial, operational, and sustainability objectives. This position offers the opportunity to influence key supply chain data used in decision-making, performance reviews and departmental KPIs.
Key Responsibilities
Supplier Administration & Governance
- Coordinate supplier onboarding, approval and renewal processes in line with Barhale governance requirements.
- Proactively monitor supplier approval expiries and gather updated documentation ahead of deadlines.
- Maintain accurate supplier information, records, status (approved/preferred), accreditations and evidence within the SCD.
- Ensure all documentation (emails, certificates, forms, evidence) is controlled, correctly filed and easily accessible.
Data Management & SCD Ownership
- Input, update and verify supplier data in the SCD, ensuring accuracy and timeliness.
- Support mapping of supplier categories, risk indicators, preferred listings and commercial notes.
- Maintain approved and preferred supplier lists across all categories.
- Support the administration of the SCD/Summit ERP interface to ensure only approved suppliers are available for ordering.
Supplier Frameworks, Agreements & Price Lists
- Assist in the administration and logging of Preferred Supplier Trading Agreements (PSTAs), Service Level Agreements (SLAs) and fixed price lists.
- Track agreement review cycles, expiry dates, and notice periods and ensure 12-month agreement periods are maintained.
- Maintain accurate records of agreed rates, terms and supplier-specific conditions.
Supply Chain Performance and KPI Support
- Act as the central point of contact for supply chain queries from Procurement, Commercial and operational teams.
- Manage incoming emails and calls, maintaining a professional and efficient response.
- Support category leads and the Supply Chain Manager with supplier-related queries, market engagement and early supplier involvement. Market Awareness & Category Support
- Maintain awareness of market trends, product updates and industry developments.
- Support category rationalisation, supply chain diversification and supplier gap analysis.
About you
Essential
- Experience in high-volume administrative duties within supply chain, procurement, commercial or similar environments.
- Experience managing supplier data, onboarding and compliance documentation.
- Strong organisational skills with excellent attention to detail.
- Confident communicator, able to liaise with people at all levels, internally and externally.
- Proven understanding of accurate data entry and maintaining audit-ready records.
- Ability to work both independently and collaboratively as part of a team.
- Proficient in Microsoft Office, particularly Excel, Outlook and document management.
- Ability to prioritise effectively and meet deadlines in a fast-paced environment.
- Strong analytical and problem-solving skills with a proactive approach.
Desirable
- Experience supporting supplier frameworks, preferred supplier agreements, SLAs or price list management.
- Exposure to supplier performance management processes or KPIs.
- Experience using ERP, procurement or vendor management systems (e.g., Summit or similar).
- Prior experience in a compliance-focused or document control environment.
- Knowledge of ESG/Modern Slavery considerations in supply chains.
