Summary


This is an exciting & challenging opportunity for a motivated Clinical Team Secretary to work as part of a multi-disciplinary team. We are looking for an enthusiastic & motivated individual with excellent administration, communication & organisational skills to support the Clinical Team within Rushcliffe Local Mental Health Team.

Provide an efficient secretarial/administration/reception support service.

Produce high quality reports and correspondence within agreed deadlines as required.

To undertake office duties including diary management and message management, opening and distributing mail, dealing with telephone calls and enquiries, production of documents and electronic filing as well as general administration support services.

Facilitate meetings, including minute taking, venue booking, producing and circulating agendas and accurately taking and producing minutes.

To work flexibly and provide cover which may include the requirement to travel to different sites.

Typing/word processing qualification to RSA/OCR III standard or equivalent level of experience.

Knowledge of a full range of Business and Administration procedures acquired through NVQ Level 3 or proven practical experience.

Be proficient in the use of IT systems, including Microsoft Office – Excel, Outlook, Word, database and internal systems including patient and staff information systems.

You should have excellent organisational and time management skills and have experience of working without supervision including working under pressure when required to meet the needs of the clinical team.

This varied role will include all aspects of clerical & administrative support to assist staff within a busy clinical service whilst also providing a welcoming & confidential reception service to visitors, staff & patients.

All necessary training will be provided.

To undertake clinical administrative work as required by the clinical team.

To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate. Using Microsoft packages to support with administrative work.

To deal with enquiries/visitors. To liaise & deal with all departments & external agencies, patients and carers.

Undertake office duties, including emailing, filing, photocopying, dealing with incoming / outgoing mail. Dealing with all telephone calls and associated duties in an efficient and timely manner.

Maintaining efficient filing systems for patient’s records & documentation, carrying out regular checks on correct filing of all information in line with Information Governance procedures. Uploading clinical documents to RIO.

To support trained staff to ensure that data is recorded onto RIO in line with data quality & timeliness requirements, as indicated by the Trust.

To undertake any other duties that would be a reasonable expectation of the role.

Please note that this post does not meet the pay level required for a Skilled worker visa.

Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change. This salary is below the minimum salary required for sponsorship for a Skilled Worker / Health & Care visa. In these circumstances the Trust would not, therefore, be able to sponsor for a Skilled Worker / Health & Care visa.

Please note applicants will be required to pay for their DBS check.Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment.
