Summary

Role Overview
As Assistant Stock Controller, you will support the Stock Manager in ensuring effective control, accuracy and availability of both machine and spare parts stock across the business.

This role is responsible for maintaining accurate inventory records, supporting purchasing activities, coordinating with suppliers and ensuring machines and spare parts are available to meet customer demands, service requirements and operational priorities. You will play a key role in balancing stock availability, working capital, storage capacity and supplier performance.

You will act as a central link between Service Delivery, Engineering, Warehouse, Finance and external suppliers to help minimise downtime, maintain stock integrity and support revenue generation.

Key Responsibilities and Accountabilities:

• Support the Stock Manager in maintaining accurate control of both machine and parts inventory across all locations.
• Maintain accurate stock records within SAGE, including creating new machine and parts numbers, pricing and supplier information;
• Monitor and maintain appropriate stock levels in line with sales forecasts, service demand and business priorities;
• Administer all stock movements including goods in, goods out, inter-hub transfers, engineer van stock and customer allocations;
• Manage serial number tracking and asset control for machines;
• Manage, track and count all machine trackers. Order additional trackers as and when required;
• Allocate machine stock to confirmed sales orders and coordinate dispatch with the warehouse team.
• Check and book in all incoming machine and part deliveries, reporting shortages, damages or discrepancies.
• Carry out regular cycle counts (2 machines and 8 parts per day) and support full stock takes, investigating and resolving variances;
• Monitor and manage aged, slow-moving and obsolete stock in line with company policy;
• Raise, manage and track purchase orders for machine and spare parts in line with authorisation procedures;
• Source machines, spare parts and components as required, supporting availability and cost control.
• Proactively chase suppliers for order confirmations and delivery dates, updating ETA information within the system;
• Monitor supplier performance and support resolution of delivery issues, quality concerns and invoice discrepancies;
• Identify alternative supply options where required to reduce risk and improve availability;
• Process machine and parts orders accurately, ensuring correct pricing is applied;
• Process parts for direct-to-site customer supply, service cases and engineer requirements.
• Close cases and ensure stock is accurately allocated and issued within the system;
• Act as a key point of contact for stock-related queries from Sales, Service Delivery, Engineers, Warehouse, Finance and Customers;
• Liaise with Finance regarding invoice matching, credits, warranty claims and returns;
• Maintain accurate documentation and audit trails for machine and parts movements;
• Support reporting on stock levels, backorders, inventory value, machine allocations and supplier performance;
• Contribute to continuous improvement initiatives to enhance stock accuracy, reduce write-offs and improve inventory turnover;
• Monitor supplier performance and escalate delivery, quality or cost issues to the Stock Manager;
• Support in the production of management information regarding ageing, non-moving, excess stock and machine allocations;
• Ensure correct stock profiling of engineer, hub stores and machine stock to aid first-time fix, availability and productivity.
• Order all office related supplies including stationary and kitchen consumables;
• Support procurement activities by liaising with suppliers, completing annual supplier ISO forms for all suppliers with annual purchases over £50,000 and ensuring orders and documentations are accurate and compliant.

Qualifications, Skills and Experience:

• GCSEs (or equivalent) including Maths and English
• Previous experience in a purchasing, procurement or stock role withing a manufacturing, engineering, service or equipment-based environment desirable.
• Experience sourcing spare parts or technical components
• Experience managing suppliers and supporting delivery, quality and invoice issue resolution
• Understanding of inventory control and stock management
• Strong organizational skills with high attention to detail
• Effective communication skills and the ability to work cross-functionally
• Ability to work in a fast-paced environment and manage multiple priorities
