Summary


We are looking for a motivated individuals to join our team of endoscopy schedulers working within our busy endoscopy booking office. If you are eager to learn, have a flexible approach to work and are reliable and enthusiastic, we would like to hear from you.

The role involves the booking of patients needing endoscopy in accordance with all Diagnostic, RTT and Cancer Targets.

You will be working as part of a friendly, welcoming and expert Multidisciplinary Endoscopy Team who are enthusiastic and encouraging in a happy working environment. Mentoring, training and guidance will be provided to the successful candidate.

The successful candidates will also work closely with both Medical and Nursing Staff within the department, who think of the Patient first and always uphold the Trusts values.

The JD & PS are currently under AfC review and are subject to change.
• The main purpose of the role is to co-ordinate the admission of patients to the Endoscopy Unit all the Mersey West Lancashire (MWL) Hospital sites.
• To schedule endoscopic procedures for both inpatients and outpatients to ensure that an efficient, timely and patient focused service is provided and the clinical needs of patients are met, in accordance with the current operating framework and the NHS National Guidelines.
• To provide a high quality, efficient, timely and patient focused service to the Trust to support a high standard of clinical care to the patients.
• To be involved in a range of duties requiring good communication and organisational skills, have the ability to work autonomously and as part of a team, have an awareness of customer care and a flexible and adaptable attitude.
• To manage own workload under the guidance of the Scheduling Manager, following standard operating procedures and national guidelines.

Acute Care

Providing emergency and maternity services at Whiston, Southport and Ormskirk hospitals, and medical and surgical specialties across all our sites.

Providing adult community services for St Helens and a wheelchair service in Chorley, South Ribble, and West Lancashire. Our inpatient unit at Newton Community Hospital is where patients needing acute hospital beds can continue rehabilitation, freeing up space for more unwell patients. We also provide urgent care at our Urgent Treatment Centre located in St Helens town centre.

Specialist Regional Services

We provide the Mersey Regional Burns & Plastic Surgery Unit at Whiston Hospital and the Spinal Injuries Unit at Southport Hospital to more than 4 million people across the whole of Merseyside, West Lancashire, Cheshire, Isle of Man and North Wales.

• To analyse waiting lists to enable planning of patient procedure dates ensuring that diagnostic, RTT and cancer targets are met.
• To provide advice and guidance to patients with regard to medication and preparation prior to their procedure.
• Arrange admissions for patients who need a TCI pre or post Endoscopy and inform the Unit of any changes/cancellations.
• Recording, accessing, and updating Patient information on Careflow system in a timely and accurate manner.
• Record National procedure codes for all patients undergoing day case procedures on Solus & Careflow.
• Participate in the reception cover rota for all MWL Sites.
• Deal efficiently and effectively with telephone calls (patient, consultants, secretaries, endoscopy staff, operational managers etc.) Ensuring confidentiality is strictly maintained and complying with Data Protection Act.
• To initiate and send out partial booking letters to invite patients to telephone to agree an admission date.
• Once patient has telephoned the office, discuss whether the dates offered are convenient, agree and book date and arrange for letter and appropriate literature / preparation to be sent to the patient.
• Ensure that all patients are offered choice of date and time for their admissions with reasonable notice within the relevant NHS maximum waiting times.
• Provide general advice and guidance to patients and relatives on admissions.
• Cancel and rearrange admissions as and when needed (via ward, consultants, patients etc.) Liaise with Team Leader and Directorate Managers over late cancellations and arrange any backfilling if appropriate.
• Telephone patients with details of cancellations/admissions when required. Dealing with resultant patient queries in a polite, courteous and tactful manner. (May occasionally deal with stressed or anxious patients).
• Ensure all cancelled procedures (both patients and hospital initiated) and DNA’s are followed up efficiently.
• To liaise, update and escalate to the Scheduling Manager when appropriate.
• Keep electronic diaries up to date.
• To deal with incoming and outgoing mail.
• Adhere to all relevant national and local deadlines/targets.
• Liaise with other hospitals both NHS and private.
• Liaise with all other staff – clerical, secretarial, wards, endoscopy staff, GP’s etc.
• Use computer software – MS Word, Excel, Solus and Careflow.
• Maintain a safe environment within the workplace whilst adhering to Health and Safety policy.
• Cover colleague’s sickness/annual leave when necessary.
• Ensure all up-to-date Trust and Departmental policies and procedures are adhered to.
• Performing all ad-hoc clerical duties as required i.e. photocopying, email, typing and telephone calls.
• To participate in audits within the department as required.
