The Oncology and Haematology Directorate consists of Outpatients within the Colney Centre, Mulbarton Ward and Chemotherapy and Radiotherapy treatment areas. Paperless processes are in place for chemotherapy and radiotherapy with a dedicated software system including electronic paper records. The department has a year on year increase in new referrals and treatments and has recently expanded the chemotherapy and radiotherapy treatment areas.

An opportunity has arisen to join our busy administration team in Oncology and Haematology.

As post holder, you will be responsible for providing an efficient administrative service for the consultants and other medical staff working across the Directorate.

We are seeking an enthusiastic and experienced individual who enjoys supporting patients from behind the scenes (may occasionally support on reception if staffing support is required) and working in a friendly, multi-disciplinary environment. The post-holder will be expected to deliver a high quality service within a performance managed environment. You will work collaboratively to provide a full secretarial and administrative service at a leading Cancer Centre which prides itself on clinical excellence.

Previous experience in a secretarial or administrative role in a medical or clinical setting is required.

• Type patient letters relating to clinics in accurate and timely manner and be able to prioritise workload with the support from the Medical Secretaries/Admin manager
• Locate, request and track hospital notes to the department and Health Records Library and file results and correspondence appropriately.
• Fold post and send out in a timely manner.
• Communicate electronically with secretaries regarding actions to be out-comed from typing to ensure 18 week targets are met.
• Update RTT in accordance with Trust guidelines. Assist the Administration and Clerical team with data management utilising PAS and other departmental patient databases.
• Work in line with department guidelines and policies, and offer suggestions for improvements to procedures/policies to support the continual development of the service.
• Maintain ‘Administration Procedures’ for departmental practices, to ensure colleagues can cover workload in absence and offer suggestion at regular team meeting for improvements in working practices.
• Maintain a clean and tidy office and adhere to the tidy desk policy and undertake any other duties, which may reasonably be expected of the incumbent and in line with banding.
• Support across multiple administrative teams during sickness/annual leave and complete other tasks that commensurate with the grade of your post i.e. covering reception checking patients in, manning phones and taking/returning messages, adding waiting lists and appointments to PAS as per trust policy.
• Liaise with all members of the multi-disciplinary team to ensure the smooth and efficient function of the department.
