Summary

To provide a proactive and professional HR service to managers and staff in person, via email or other written correspondence as well as over the phone while supporting the maintenance of HR systems or databases, policies and protocols. Main duties & responsibilities Filing, scanning, upload relevant records, ensuring staff records are maintained and that periodic tidying up of records is undertaken in line with current GDPR policies responding to emails and raising queries as needed managing multiple mailboxes producing authorised contracts /variation of contracts and letters running audits and reports liaising with external agencies organizing induction and ensuring all new starter paperwork is completed and relevant information provided to the relevant departments take responsibility of the full onboarding and offboarding process conducting pre-employment and ongoing checks Placing of advertisements and managing candidate correspondence including invitations to interview co-ordinating the new starters/leavers administration process from end to end ensuring accurate offer pack and supporting documents are issued in line with Practice Policy and Procedure Ensure mandatory/statutory training and appraisal records and maintained and reminders sent to the relevant staff/line managers in a timely manner Any other duties appropriate to the post Additional Operational Responsibilities as below: Supporting absence and family leave administration in line with statutory requirements Maintaining HR systems including leave management platforms Supporting contract/payroll change processes Assisting in employee relations case administration Supporting workforce compliance in preparation for CQC inspections Producing HR reports and workforce metrics Supporting onboarding process and training for ARRS Reviewing and updating the practice HR policy in line with UK employment law and practice needs Visa & Sponsorship Monitoring - Maintain Skilled Worker sponsorship records ( practice sponsors staff) Track visa expiry dates Employee Relations Administrative Support - Provide administrative support for disciplinary, grievance and capability cases Maintain confidential case files and documentation HR Systems & Data Management - Maintain HRIS / leave management systems (e.g., Whos Off)- Ensure data accuracy across HR systems Maternity / Family Leave Administration - Administer maternity, paternity, shared parental leave processes Track maternity leave accrual (annual leave and bank holidays) Liaise with payroll regarding any statutory payments Absence Management Administration- Maintain and monitor sickness absence records and calculate Bradford scores Prepare documentation and meeting packs for attendance reviews Track monitoring periods and review dates
