Summary


The postholder will provide high‑quality administrative and secretarial support to the Divisional Nurse Director, Deputy Directors of Operation, and Head of Commercial Finance within the Private Care Directorate. This role is central to ensuring the smooth, efficient running of the Private Care management office and acts as a key point of coordination across a complex and fast‑paced environment.

The postholder supports senior leadership by delivering comprehensive administrative, secretarial, and organisational assistance. This includes managing complex diaries, coordinating meetings, preparing documentation, and facilitating communication across internal and external stakeholders. The postholder will also work closely with the Office Manager/PA to Managing Director & Director of Operations on Divisional processes such as recruitment, rostering and payroll administration.

• Organise and maintain up-to-date complex diaries for the Divisional Nurse Director, Deputy Directors of Operation and Head of Commercial Finance where required, including organising meetings.
• Assist in the collection, preparation and distribution of agenda and minutes of meetings. Organise meeting documentation and attend meetings with or at the request of the Management to take minutes and to type the minutes of these meetings as requested.
• Type all minutes, agendas and documents using Windows packages.
• To act as a point of contact for users of the service, dealing confidently and appropriately with enquiries, referring to the managers or keeping them informed as appropriate.
• Make travel arrangements on behalf of the Managers in accordance with Trust policies.
• Support managers to raise invoices, orders and ensure approvals are up to date as directed. Assist with any queries and ensure invoices in workflows are regularly actioned.
