Summary

MAIN DUTIES AND RESPONSIBILITIES Provide administrative support to the POAC Ward Manager, Admin Team and Admin Manager. Incorporating printing and photocopying. Work as a team providing cover for annual and sick leave. Including main reception. Provide accurate information for the POAC admin manager and Ward Manager. Attend and participate in Team meetings. Adhere to Trust policies and procedures. Update Synopsis entries to provide the minimum level of information needed. Assist patients, if required, in order for them to complete their Health Questionnaire on Synopsis Printing patients SCRs. Contacting patients by telephone to remind them to complete their Health Questionnaire and assisting them with this if required to enable triage nurses to make decision on level of assessment required. Checking and cross referencing upcoming clinics to ensure the majority of patients have completed Health Questionnaires prior to their assessments to assist with patient flow through the department. Photocopying information for the nurses to disseminate to patients. Filing. Based on nurses station or main reception answering incoming calls taking messages as and when needed and liaising with appropriate staff to action those messages. Ensure case notes are available for all patients attending the pre-operative assessment centre. This may include retrieving notes form medical records library, secretaries offices etc. Liaise with staff and service users. Provide excellent telephone skills, accurately record telephone messages and other enquiries, and refer as appropriate. Attend admin team/departmental meetings on a regular basis. Contribute to building effective teamwork in exchanging views, ideas and communicating effectively. Ability to make decisions and take actions within the team relating to routine enquiries, whilst receiving support and supervision Ability to recognise situations that should be referred onto line manger and take prompt and appropriate action. Work collaboratively as part of an integrated team. Work within and keep up to date with National and Trust legislation, guidelines, policies, procedures and code of conduct relating to own role. Be responsible for confidentiality in line with Trust policy and procedures. Accurately input data using a variety of Trust IT systems in a timely way. Strictly adhere to Caldicott and the Data Protection Act. Ensure all information held is kept up to date. Shred and destroy confidential documentation in line with Trust policy.
