Duties:
- Monitor real-time attendance "alert registers" and absence notifications for students flagged as high-risk. Immediately follow up unexplained absences through phone calls, texts, emails, and other approved communication methods.
- Escalate non-contact or concerning responses to the DSL/DDSL in line with college procedures.
- Record all actions promptly and accurately within the college MIS and safeguarding systems.
- Receive and process information regarding student absences by telephone and in person, from student and appropriate adults and from the College absence line system, and record absences on campus systems ensuring all appropriate staff are notified.
- Work closely with the DSL/DDSL and wider Safeguarding team to support early identification of potential safeguarding concerns arising from attendance issues.
- Carry out the student sign out process ensuring any student under the age 18 has parental/NOK consent and a record is made.
- Build strong working relationships with curriculum teams and engage directly with vulnerable learners to build attendance routines and reduce barriers to attendance.
- Support teaching teams in addressing persistent non-attendees, advising parents/guardians accordingly and referring to safeguarding/health & wellbeing staff where appropriate.
- Run and disseminate the 7 Day Absence report on a weekly basis. Highlight and log concerns via campus systems, liaise with staff.
- To amend register marks in-line with college Policy and Procedures.
- When required, support other members of the Safeguarding Team with the general day to day running of the Department.
- Maintain strict confidentiality and comply fully with safeguarding legislation, including KCSIE and GDPR.
- Undertake any other duties that may be reasonably required, commensurate with the grade and scope of this post and agreed with the relevant line manager. This may include supporting College events which may be outside normal hours of work.
Skills/Experience:
- Experience working in a safeguarding, attendance, pastoral, or support role within education or a similar environment desirable.
- Ability to remain calm, prioritise urgent tasks, and respond quickly to emerging risks.
- High level of accuracy, attention to detail, and confidence using MIS and digital systems.
- Good working knowledge of Microsoft IT packages, PRO monitor and CPOMS desirable.
- Experience within an administrative role.
Qualifications:
- Minimum GCSE grade 4 / C in English & Maths or equivalent.
- Level 2 business administration qualification or equivalent.

- Ability to work off your own initiative and take responsibility in decision making including prioritisation of tasks.
- Be highly organised and able to keep accurate records.
- Excellent communication skills, including the ability to handle sensitive conversations with professionalism.
- Capacity to use IT systems to record and manage student interventions.
- Work with flexibility to meet need of students and the team including possibility of later hours.
- To handle multiple enquiries via telephone, email and in person.
- Open minded to the cultures, views and experiences of others and values diversity.
