Summary

Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice Deal with all general enquiries, explain procedures and make new and follow-up appointments by telephone and in person. Managing requests for appointments by ascertaining from the patient sufficient details of their problem to enable the clinician to assess the urgency of the problem OR signposting patients to alternative services if more relevant and following up when necessary. Following practice guidance and protocols, ensuring that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Advising patients of test results according to protocol. Creating tasks from information received. Ensuring tasks received are actioned appropriately and in a timely manner and any follow up information received is relayed accurately. Explain practice arrangements and formal requirements to new patients and those seeking temporary cover, and ensure procedures are completed. Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery. Contacting patients to invite them in for reviews as required. Action repeat prescription requests and organising any investigations that are due are requested Creating blood forms for investigations for medication reviews/as requested by the GP Print lists for all surgeries and clinics to be held for the following day Advise patients of relevant charges for private (non General Medical Services) services, accept payment and issue receipts for same. Enter patient information on to the computer as required ensuring all relevant communications are documented accurately Take receipt of specimens, ensuring they are directed to the correct member of the clinical team or placed directly into the pathology collection box as per procedure. Premises: o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients. o When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated. Ensure that all new patients are registered onto the computer system promptly and accurately Undertake any other additional duties appropriate to the post as requested by the partners or the practice manager. Administrative duties such as registration of patients, registration queries. Ensuring the reception area is tidy and leaflets are up to date.
