Summary
Neway International are seeking a Housing Allocations Administrative Officer to join our client based with Runnymede Borough Council.
Location: Runnymede Civic Centre, Station Road, Addlestone, Surrey, KT15 2AH
Hours: 37 per week
Start Date: 09 March 2026
End Date: 3 months, extended after review
Pay Rates:
• PAYE: £12.67 per hour
• Limited/Umbrella: £16.38 per hour
Work Pattern: 2 days remote, 3 days in the office
About the Client
Runnymede Borough Council’s Housing Services team provides essential support to residents applying for housing assistance. The Allocations Team is currently preparing for the implementation of a new IT system, requiring dedicated administrative support to ensure a smooth transition and accurate migration of records.
The Role
This temporary role focuses on preparing documents, records, and applicant information for migration to a new housing allocations system. The postholder will manage large volumes of digital files, support data cleansing, and assist with system readiness tasks. Alongside this, you will provide general administrative support to ensure continuity of service during the transition period.
Key Responsibilities
Document Handling & Data Preparation (Primary Focus)
• Download, save, and catalogue documents from shared inboxes, portals, and legacy systems
• Create and maintain structured digital folders for system migration
• Ensure applicant records are complete, accurate, and stored correctly
• Identify missing or inconsistent information and flag to Allocations Officers
• Support data cleansing to ensure accuracy and compliance with data protection
• Assist with mapping existing records to new system fields (training provided)
• Work with the project team to prepare documents for upload within agreed timelines
Support for New IT System Implementation
• Assist with preparing documentation for system testing and go‑live
• Follow new processes introduced as part of the rollout
• Provide feedback on document handling processes and highlight issues
• Maintain accurate records throughout the transition period
General Administrative Support
• Manage shared inboxes and allocate correspondence appropriately
• Prepare standard letters, emails, and notifications
• Carry out scanning, filing, photocopying, and routine admin tasks
• Update spreadsheets, trackers, and monitoring tools
• Support officers with basic application checks and document verification
• Respond to straightforward enquiries and signpost where appropriate
Candidate Requirements
Essential Skills & Experience
• Strong administrative background with experience handling large volumes of documents
• High level of accuracy and attention to detail
• Confident using IT systems, shared drives, and Microsoft Office
• Ability to follow structured processes and work methodically
• Experience working with confidential information and understanding data protection
• Strong organisational skills and ability to prioritise during periods of change
Desirable Skills & Experience
• Experience in housing, local authority, or customer‑focused environments
• Familiarity with housing allocations processes or case management systems
• Experience supporting system changes or data migration projects
Personal Attributes
• Reliable, proactive, and able to work independently
• Calm and adaptable during busy periods
• Strong communicator, able to liaise professionally with colleagues and applicants
