ABOUT THE ROLE
We are looking for an organised, proactive and welcoming Administrator to support the smooth running of our Family Hubs. You will be a key point of contact for families, visitors and professionals, ensuring they feel supported, informed and connected to the services they need. This role is home-based but requires regular travel to our flagship and spoke hubs across Wiltshire.
In this role, you will:
Provide a warm, professional welcome to families visiting the hubs.
Respond to enquiries (in person, by phone and digitally) with clarity and empathy.
Register families and maintain accurate records and databases.
Coordinate and schedule appointments, meetings, and group sessions.
Support the team with general administration including documentation, minute‑taking, and communications.
Manage calendars, bookings, session registers and activity resources.
Produce marketing materials, activity packs and publications as needed.
Process and organise data to support reporting requirements.
Ensure compliance with safeguarding, confidentiality, health & safety and data protection procedures.
Signpost families to universal support or other colleagues within the hub.
Support the distribution of Healthy Start vitamins.

We’re looking for someone who is organised, approachable and confident in supporting both families and colleagues. You’ll thrive in a busy environment and bring a friendly, solution‑focused approach to your work. You will bring:
Experience in an administrative or customer-facing role.
Excellent communication skills, written, verbal and digital.
Strong organisational and time-management abilities.
Confidence using digital tools, databases and Microsoft Office.
Attention to detail and accuracy in all administrative tasks.
Ability to work collaboratively within a supportive team.
An understanding of safeguarding and data protection (or willingness to learn).
A flexible, positive, and compassionate approach.
Ability to travel within Wiltshire as required.
Desirable qualifications include: NVQ Level 3 or 4 in Business Administration (or equivalent), plus English & Maths to GCSE level.
