Job Introduction
We are seeking a detail-driven and collaborative Asset Coordinator to support asset governance and lifecycle management across the HMRC West estate, delivering services to HM Revenue & Customs (HMRC).
This is a key role ensuring the integrity, accuracy and quality of asset data within CAFM systems, enabling effective operational planning, statutory compliance and long-term asset value across a complex, multi-site public sector environment.
The Asset Coordinator is responsible for maintaining accurate asset registers and supporting lifecycle management through robust data governance and reporting.
You will work closely with operational, technical and compliance teams to ensure asset information is reliable, auditable and aligned to Sodexo standards, statutory requirements and client expectations.
Your work will directly support:
- Lifecycle planning and replacement forecasting
- Statutory compliance planning
- Operational continuity and risk mitigation
- Data-led decision-making and investment planning
What you’ll do:
- Maintain and update asset registers, ensuring accuracy and compliance with client and organisational standards.
- Coordinate asset surveys, condition assessments and data collection activities.
- Ensure assets are correctly logged, tagged and categorised within CAFM systems.
- Support lifecycle planning through condition data analysis and replacement forecasting.
- Produce asset reports, dashboards and performance insights for internal and client stakeholders.
- Manage asset documentation including warranties, manuals, certifications and compliance records.
- Monitor compliance schedules and liaise with the Compliance Lead to support forward planning.
- Coordinate asset data changes through governance and approval processes.
- Support procurement processes by gathering and validating asset specifications.
- Liaise with operational teams, suppliers and contractors to verify asset information.
- Identify and escalate asset-related risks including age, condition or compliance gaps.
- Support continuous improvement initiatives to enhance data quality and system performance.
- Promote a strong health, safety and Zero Harm culture across all asset-related activities.
The Environment
HMRC West is a large, operationally critical government contract with a diverse asset base including:
- Mechanical and electrical infrastructure
- Building fabric assets
- Operationally critical systems across multiple sites
Operational priorities include:
- Maintaining accurate and auditable asset registers
- Aligning system data with live operational reality
- Supporting compliance planning to prevent breaches
- Managing high volumes of asset documentation
- Identifying asset risks including obsolescence and condition decline
- Supporting informed investment decisions through robust data
This role requires governance discipline, attention to detail and strong collaboration across teams.
What you bring:
- Experience working with asset registers or CAFM systems.
- Understanding of asset lifecycle management principles.
- Awareness of statutory compliance within facilities management or technical environments.
- Good working knowledge of Microsoft Excel and reporting tools.

- Understanding of statutory compliance frameworks such as LOLER, PUWER, Gas Safety or Electrical compliance.
