About the Role:
The Business Support Assistant will play a pivotal role in ensuring smooth and efficient operations across Compass Hospitality’s business support function. This position focuses on managing supplier relationships, maintaining accurate contract and licence records, and supporting procurement and compliance processes. The role involves coordinating supplier reviews, assisting with tenders, processing Capex and FF&E requests, and handling insurance claims. Acting as a key link between hotels and the central support team.
Key Responsibilities:
Supplier & Contract Management
• Maintain and organise supplier contracts database and folders.
• Process new supplier forms, conduct credit checks, and manage product listings.
• Liaise with PSS to ensure accurate supplier information and compliance.
• Review contracts and raise concerns where necessary.
Operational & Compliance Support
• Maintain hotel licence database and ensure compliance.
• Assist with tender document preparation and support tender processes.
• Process Capex and FF&E requests and handle insurance claims through to resolution.
• Support automation of Capex and FF&E processes with senior management.
Data & Process Improvement
• Cleanse and update supplier database within PSS, ensuring accurate details.
• Analyse supply chain processes and recommend improvements.
• Assist in writing SOPs, policies, and procedures.
Stakeholder Engagement
• Act as the link between Business Support and hotel teams, building strong relationships.
• Help hotels source suitable suppliers and contractors.
• Attend purchasing events and visit hotels when required.
Qualifications and Skills
Essential
• Strong administrative and organisational skills with attention to detail.
• Experience managing supplier databases, contracts, and compliance documentation.
• Ability to analyse processes and recommend improvements.
• Excellent communication and interpersonal skills for liaising with hotels, suppliers, and internal teams.
• Ability to prioritise tasks, meet deadlines, and work independently.
Technical Skills
• Proficiency in Microsoft 365
• Familiarity with PSS systems and Sage supplier codes is advantageous.
